Main Purpose of Job:
To assist in the management of all facilities management services and projects (When required) on site in a cost effective, professional, efficient and safe manner.
The primary purpose of this role is to leverage advanced professional knowledge and acumen in the field of Facilities management to introduce and share industry best practice to meet Immunocore's facilities management and business objectives. The Facility Manager (FM) shares responsibility for ensuring the continuous, safe, compliant and efficient operation of Immunocore's FM infrastructure. This role supports all aspects of the FM hard and soft service operations, key stakeholders and executes facility-related projects. The FM assists with day-to-day functions within the team to provide a high-quality environment for scientific research and corporate operations.
The Facility Manager will be called upon to manage the Facilities Team in the absence of Director, Facilities. Leadership qualities are essential, demonstrated through proactive team participation providing guidance and coaching to less experienced colleagues, fostering a climate of empowerment and autonomy whilst operating from a base of trust and empowerment.
Key Responsibilities:
* Management: Support the attainment of the Facilities Management departments primary goals through:
* Manage and deliver identified services in accordance with performance criteria, targets and service level agreements to ensure Ommunocore end user satisfaction levels are met or exceeded
* Identify and achieve opportunities for innovation and change that improve cost effectiveness, cost reduction and/or enhance the departments service management and delivery
* Prepare accurate and meaningful management reports that monitor service level performance and spend.
* To support the Facilities Director and to deputise, when and as appropriate, taking on the responsibilities associated with the role
* Strategic & Operational Planning: Contribute to the development of the FM strategy by:
* recommending operational improvements, technology enhancements, and long-term capacity planning.
* translation of departmental strategy into actionable operational plans and oversee delivery against those plans.
Leadership & Team Development: Establish and maintain excellent working relationships, internally and externally with supplier partner representatives. Provide coaching, mentoring, and technical guidance to junior facilities team members, supporting their professional development and competency growth including providing constructive feedback, identifying skills gaps, and creating development plans.
* Cross Functional Collaboration & Influence: Act as a primary liaison between Facilities and scientific/operational teams to ensure alignment of facility operations with business needs including leading and facilitate cross-functional meetings to ensure effective communication of facility issues, project plans, and operational changes.
* Project Execution: Lead and manage facility improvement projects, office/lab renovations, and equipment installations from inception through to completion, ensuring they are delivered on time and within budget and to carry out RCA and lessons learned where appropriate.
Compliance & Safety: Ensure: Compliance with legislative and Immunocore EH & S procedures and ensure all necessary processes and procedures are in place and adhered to for managed area
* Development and maintenance of an Account Quality Business Operating system in line with Immunocore FM Business Process requirements
* Oversee risk assessments, method statements, and statutory compliance processes to ensure alignment with regulatory and Immunocore standards.
* Vendor Management: Coordinate with external contractors and service providers, ensuring high-quality workmanship and adherence to company safety protocols. Monitor and manage delivery against service and cost KPI's.
* Operational Efficiency: Track, analyse and trend facility operating data, including costs, to identify operational efficiency opportunities including process improvements to enhance building sustainability, energy efficiency, operational reliability and support site ESOS requirements.
* Emergency Response: Serve as a key point of contact for facility-related emergencies, participating in an on-call rotation if required and support development of business continuity plan
* Additional Tasks: In addition to the above-mentioned tasks, other activities and responsibilities may be individually defined
Supervisory Responsibility (If applicable):
* May manage more junior members of the Facilities team.
Education, Experience and Knowledge:
Education & Qualifications:
* Typically requires a bachelor's degree in Facilities Management; engineering (Mechanical, Electrical, or Civil), or a related FM field.
* Professional certifications (e.g., IWFM, CFM, FMP, or PMP) are a plus
Experience & knowledge - Essential
* Proven experience in facility management, preferably within a life sciences, laboratory, or highly regulated environment.
* Technical knowledge of building management systems (BMS) and mechanical/electrical/plumbing (MEP) infrastructure.
* Demonstrated experience of managing third partner suppliers delivering a range of soft services, including cleaning, vending, etc; and Hard Services.
* Good working knowledge of Microsoft applications such as Excel, Word, and Outlook.
* Demonstrated experience in managing small to medium-scale capital projects.
* Maintenance of accurate records and documentation for compliance and audit purposes.
Experience & knowledge - Desirable
* Experience working in a GxP (Good Practice) environment.
* At least 5 years plus managerial experience of FM
* Operational experience of implementing and managing EH&S and Quality Systems.
* Self-motivated and able to motivate a team.
