Development support staff help maintain positive relationships with donors, volunteers, and community partners, ensuring ACCF's programs operate effectively. The Administrative Coordinator II supports the development team and daily operations through donor database management, reporting, strategic insights, and administrative support. This role ensures the accuracy, integrity, and completeness of donor, volunteer, and prospective donor data while assisting with reporting, communications, and other development initiatives. The position requires a hands-on, can-do approach in a small, collaborative nonprofit team environment and contributes to the organization's growth and revenue-focused initiatives. Classification: Non-Exempt Schedule: Full Time Reports To: Chief Executive Officer & Chief Development Officer Duties & Responsibilities Donor Database & Data Management Maintain and update donor, volunteer, and prospective donor database records (DonorPerfect or similar) to ensure accuracy, completeness, and integrity. Maintain and update related spreadsheets and dashboards for ongoing projects and business operations. Enter, code, track gifts, pledges, sponsorships, and volunteer engagement. Respond to internal data requests and provide timely, accurate reports or extracts as needed. Troubleshoot data discrepancies and coordinate with relevant teams to resolve issues. Collaborate with the Chief Development Officer to analyze data, identifying opportunities for impact, efficiency, and growth. Support decision-making through analysis, forecasting, and reporting. Identify trends, performance metrics, and predictive behaviors. Assist in developing donor segmentation strategies and analyze donor patterns, revenue over time, and acquisition vs. retention. Present data in clear, accessible formats to inform fundraising strategy. Collaborate with Finance to support reconciliation between donor database and accounting systems. Development Support & Communications Prepare donor acknowledgment letters and gift summaries. Assist with development communications, including newsletters, email campaigns, and donor updates. Support event logistics and donor engagement activities with accurate reporting and tracking. Provide strategic updates and reports to inform fundraising campaigns, events, and donor engagement initiatives. Represent ACCF and assist in fundraising and community events as needed. Collaborate with cross-functional teams on development initiatives and projects. Operations & Administrative Support Maintain organized digital and paper files for donor, volunteer, and prospective donor records, contracts, and administrative documents. Assist with preparation of reports, grants, and compliance documentation. Provide scheduling, meeting coordination, and preparation of materials for development team meetings. Maintain and update records in our ERP system's project management module regarding events and other fundraising campaigns. Support special projects and other organizational needs as assigned. Cross-Functional Collaboration Work closely with Finance, Development, and Programs teams to align data and operational processes. Participate in team meetings, providing updates and input on shared initiatives. Requirements Education & Experience Associate's or bachelor's degree preferred; equivalent relevant experience considered. 24 years of experience in database management, nonprofit administration, or a related role. Proficiency with donor databases (DonorPerfect or similar CRM platforms). Experience with QuickBooks (including collaboration with Finance for reconciliation) preferred. Strong skills in Microsoft Excel, Word, and reporting tools. Experience supporting grants, reporting, or compliance processes preferred. Communication: Strong written and verbal communication skills; able to present data clearly. Team Collaboration: Works cooperatively across departments and with external partners. Professionalism & Integrity: Maintains confidentiality of sensitive donor, volunteer, and financial information. Adaptability: Flexible and resourceful in responding to changing organizational priorities. Technical Proficiency: Skilled with databases and digital tools; able to quickly learn new technologies. Physical Abilities Must be able to use a computer for extended periods. Must endure repetitive wrist, hand, and/or finger movement while operating office equipment. Requires clarity of vision at close distances while operating a computer. Additional Employment Information Pre-employment training may be required.
