Job Summary
We are seeking a proactive and detail-oriented Administrative Assistant to join our team. This role is pivotal to ensuring smooth office operations, maintaining a welcoming reception experience, supporting employees and providing dedicated administrative support to the General Manager, ensuring efficient calendar coordination, travel planning, and executive-level administrative assistance. Reporting to the Senior Manager in Human Resources, the successful candidate will manage a variety of responsibilities that combine administrative excellence, organizational skills, and creativity.
Principal Accountabilities - Responsibilities include but are not limited to:
Reception & Administrative Support
- Serve as the first point of contact for visitors, clients, and employees, ensuring a professional and welcoming environment.
- Manage the reception email inbox and respond to inquiries in a timely manner.
- Handle incoming calls, redirect as appropriate, and take messages when necessary.
- Coordinate incoming and outgoing mail and deliveries.
- Manage reception screen operations and update company phone lists and content regularly.
- Draft and distribute office memos and communications as required.
- Provide calendar management, travel booking, and miscellaneous administrative support to the GM.
Office Operations & Administrative Coordination
- Oversee daily lunch credits (Ritual) and ensure accurate tracking.
- Maintain office and kitchen supplies, including snack cabinet and fridge inventory.
- Ensure cleanliness of shared spaces (e.g., loading dishwasher daily, maintaining coffee machine).
- Manage expenses and invoices related to HR activities, office supplies, and events.
- Support corporate credit card reconciliation and coordination with Finance.
Community & Workplace Engagement
- Create and post engaging content (holidays, birthdays, event recaps) on Viva Engage.
- Process access card requests, purchase equipment, and coordinate workstation setup.
- Maintain records of desk cabinets and key distribution.
- Support employee engagement initiatives (Year-end party, mental health programs, holiday gifts, team activities and holiday dinner).
- Coordinate office decorations for special occasions and organize monthly birthday celebrations (cakes, cards, gifts)
Key Experience and Skills
- A high school diploma is required; post-secondary qualifications in administrative services are an asset.
- 1–2 years of experience in office administration or a similar role.
- Proficiency in MS Office Suite (Word, Excel, Outlook) and the ability to quickly learn new systems.
- Exceptional verbal and written communication skills, with the ability to interact professionally with diverse groups of people.
- A friendly, professional demeanour with a strong commitment to providing excellent service.
- Highly organized, detail-oriented, and capable of multitasking in a fast-paced environment.
- Resourceful and able to work independently with minimal supervision while following directions effectively.
- Strong typing and note-taking abilities, with an aptitude for problem-solving and time management.
