Position Overview


We are seeking a Bookkeeper / Administrative Assistant  to join our team in a full-time, on-site capacity. This role combines bookkeeping expertise with strong administrative support skills. The ideal candidate will be highly organized, detail-oriented, and experienced with QuickBooks Online (QBO)  and Payworks  payroll processing.

Responsibilities
Bookkeeping
  • Manage day-to-day bookkeeping using QuickBooks Online (QBO)
  • Record and reconcile accounts payable and receivable
  • Perform monthly bank and credit card reconciliations
  • Prepare financial reports and maintain accurate records
  • Process payroll using Payworks
  • Ensure compliance with payroll regulations and remittances
  • Assist with year-end preparation and liaise with accountants as needed
Administrative
  • Provide administrative and clerical support to management
  • Manage calendars, schedule appointments, and coordinate meetings
  • Answer phone calls and emails with professional phone etiquette
  • Maintain organized filing systems (digital and physical)
  • Support daily office operations and internal communications
  • Assist with data entry and document preparation
Qualifications
  • Proven experience as a Bookkeeper and/or Administrative Assistant
  • Strong knowledge and hands-on experience with QuickBooks Online (QBO)
  • Experience processing payroll using Payworks
  • Strong administrative assistance and clerical skills with the ability to manage and organize tasks efficiently
  • Proficiency in executive administrative assistance, including schedule management and supporting senior staff
  • Excellent communication and professional phone etiquette
  • High attention to detail and strong organizational skills
  • Ability to prioritize tasks and manage multiple responsibilities
  • Proficiency in Microsoft Office and general office software
  • High school diploma or equivalent (additional certifications in accounting or office administration are an asset)
