About the Role
We are currently seeking a detail-oriented and motivated Assistant Property Manager to support property operations in Hamilton. Reporting directly to the Senior Property Manager, you will play a key role in the day-to-day management of our residential communities. This position requires strong operational awareness, finance management, with responsibilities surrounding building operations, resident relations, administration, maintenance coordination and leasing. As an Assistant Property Manager, you are the face of our Property Management team who possesses a high level of awareness of building performance and proactively identifying opportunities to improve operational efficiency, resident satisfaction, and asset value.
Responsibilities :
Operations & Management
- Maintain a strong, hands-on understanding of overall building operations, systems, and maintenance requirements.
- Ensure all property management policies, procedures, and operations align with our standards and best practices.
- Oversee issuance of notices, including Violation Notices, Notices to End Tenancy, Notices to Enter, and collateral associated with the LTB.
- Ensure compliance with the Landlord Tenant Board and internal standards.
- Review monthly financial statements, including variance reporting, identifying trends, discrepancies, and opportunities for cost control.
- Assist with invoicing, coding, and approval processes, ensuring accuracy and alignment with budgets.
- Support day-to-day purchasing and vendor contract administration.
- Demonstrate an entrepreneurial mindset by identifying opportunities to improve processes, reduce costs, enhance resident experience, and increase operational efficiency.
- Motivate, train, supervise, and support on-site community team members.
- Supervise Mobile Superintendents to ensure timely and effective completion of work orders and preventative maintenance.
Financial Administration & Rent Collection
- Oversee rent collection activities, with a strong understanding of accounts receivable (AR).
- Monitor delinquency reports and assist with resident follow-ups, payment plans, and collection efforts in accordance with company policies and legislation.
- Support accurate financial reporting through timely data entry, documentation, and reconciliation in Yardi Voyager.
- Assist with budget tracking and expense monitoring, reporting variances and trends to management.
Leasing & Marketing
- Collaborate with the Leasing team to oversee and participate in the full leasing lifecycle, including application processing, approvals, move-ins/out. This may include showings from time to time.
- Conduct property tours and walkthroughs with prospective residents, investors and management alike, demonstrating strong building awareness and in-depth knowledge of suites, common areas, amenities, and services.
- Maintain up-to-date knowledge of suite availability and building conditions to effectively support leasing and retention efforts.
- Manage lease renewals via retention initiatives to support occupancy targets and resident satisfaction.
Customer Service / Resident Relations
- Respond to resident inquiries, concerns, and complaints in a professional, timely, and solution-oriented manner.
- Maintain strong resident relationships through regular communication, visibility, and proactive service.
- Foster a culture of exceptional customer service across the designated portfolio.
- Promote and support the use of the Rent Café Resident Portal to enhance communication and resident engagement.
Maintenance, Walkthroughs & Health and Safety
- Conduct regular building, common area, and suite walkthroughs to identify deficiencies, maintenance needs, and safety concerns.
- Create and track PO’s and work orders, ensuring follow-up and completion in a timely manner.
- Conduct annual, periodic, and pre-move-out suite inspections and coordinate required maintenance.
- Maintain an adequate inventory of move-in-ready suites.
- Ensure understanding of building systems and maintenance requirements to support informed decision-making.
- Assist in maintaining compliance with fire safety plans, emergency procedures, and health and safety standards.
- Participate in capital projects and renovation programs to enhance property performance and resident experience.
- Assist with emergency and after-hours calls as required.
Qualifications :
- 2–4 years of experience in Property Management, Hospitality, or a related field; post-secondary education in Property Management or a related discipline is an asset.
- Strong understanding of residential building operations and maintenance coordination.
- Working knowledge of rent collection processes, AR, invoicing, and financial reporting.
- Experience reviewing financial statements and variance reports.
- Strong verbal and written communication skills.
- Highly organized, detail-oriented, and capable of managing multiple priorities.
- Self-motivated, proactive, and solutions-focused with an entrepreneurial approach to problem-solving.
- Excellent customer service and conflict resolution skills.
- Team-oriented with a positive attitude and flexibility to meet operational demands.
- Knowledge of the Residential Tenancies Act (RTA), Fire Code, Building Code, and Landlord and Tenant Board (LTB) processes is an asset.
- Ability to work flexible hours and respond to after-hours communications as required.
- Proficient with Yardi and mobile technology.
- Valid driver’s license, vehicle is required.
How we work and compensation package :
This full-time, permanent role is based in Hamilton and typically operates Monday to
Friday, 8:00 am – 5:00 pm, with occasional after-hours and weekend work as required. We offer a competitive salary, comprehensive benefits, and a vehicle allowance, commensurate with experience and qualifications.
