THE OPPORTUNITY:

Our client is seeking a highly organized and detail-oriented Project Coordinator to join their growing project management team. In this role, you will support the planning, tracking, and reporting of projects, ensuring everything runs smoothly behind the scenes. This is an ideal position for someone who is proactive, collaborative, and enjoys keeping teams on track. The role offers the opportunity to work across multiple teams, develop strong project management skills, and grow within a supportive, team-oriented environment.


YOUR DAY-TO-DAY:


Project Oversight and Coordination (80%):

  • Collaborating closely with project managers, engineering, and site teams to ensure deadlines and project requirements are met.
  • Monitoring active project labour, equipment, and materials sheets for accuracy and completeness on assigned projects.
  • Supporting budget management, cost tracking, and financial reporting.
  • Assisting in the preparation of client-facing and internal deliverables, including reports, change orders, and project documentation.
  • Acting as a central point of coordination between project teams and departments such as accounting, procurement, and quality.
  • Maintaining proactive communication with clients, subcontractors, and suppliers.
  • Managing transmittals and submissions.
  • Reporting directly to the PMO Manager.


Standardization & Process Improvement (20%):

  • Ensuring all project documentation adheres to established standards.
  • Leading initiatives to streamline and standardize project coordination processes across multiple projects.
  • Identifying opportunities to enhance tools, templates, and workflows, and proposing practical solutions.


REQUIRED QUALIFICATIONS:

  • Bachelor’s degree, preferably in a technical field.
  • 3–5 years of experience supporting projects, preferably in technical, design/build, or engineering environments.
  • Proven ability to work independently and collaboratively, manage priorities, stay organized, and handle complex coordination tasks.
  • Proficiency in Microsoft Office and SharePoint.
  • Excellent verbal, written, and presentation communication skills.
  • Exceptional interpersonal and relationship-building skills.
