Multi-Executive Support Role

Position Overview :
We are seeking a bilingual, highly organized, and detail-oriented Executive Assistant to support four executives (CEO, CFO, CSO, and VP Talent & Culture). This pivotal role ensures seamless operations across Canada, the US, and Morocco, requiring strong judgment, absolute discretion, and expert prioritization.
Key Responsibilities :
Executive Support & Calendar Management
- Manage complex calendars across multiple time zones (Canada, US, Morocco).
- Coordinate meetings (virtual/in-person) and prepare agendas and follow-ups.
Travel & Expense Management
- Arrange multi-city international travel (flights, lodging, logistics).
- Process expense reports and manage travel budgets with accuracy and policy compliance.
Administrative & Clerical Tasks
- Prepare executive-level correspondence, presentations, and reports.
- Maintain confidential records and coordinate office vendors/supplies.
Communications & Cross-Functional Coordination
- Serve as the primary point of contact between the C-suite and international stakeholders.
- Draft, proofread, and translate (as needed) communications in English and French.
Corporate Communications Leadership
- Coordinate C-suite corporate communications initiatives and regional alignment.
- Prepare briefing materials, talking points, and stakeholder updates.
Performance Management Support
- Support performance review cycles (scheduling, tracking, documentation).
- Maintain confidential HR files and support succession-planning logistics.
Data Management & Systems
- Maintain company databases and produce executive reports/dashboards.
- Ensure timely, accurate executive-level reporting and documentation.
Supplier, Customer & Partner Logistics (Canada/US/Morocco)
- Coordinate on-site visits, meetings, and logistics with external partners.
- Support Morocco-related engagements (itineraries, local coordination, time-zone planning).
Required Qualifications :
- 5+ years of experience supporting C-level executives.
- Full fluency in French and English (written and spoken) — essential.
- Advanced proficiency in MS Office/Google Workspace and scheduling tools.
Preferred Qualifications :
- Experience supporting multiple executives and corporate communications initiatives.
- Knowledge of HR/finance systems and familiarity with project tools (Wrike, etc.).
