Overview
The Campus Coordinator serves as the front-facing ambassador of Fueling Brains Academy—ensuring a seamless experience for families, staff, and visitors from the moment they walk through our doors. This individual will be the central point of coordination across all campus systems, ensuring that administrative, communication, and operational functions are executed with efficiency, accuracy, and care.
A strong communicator and detail-oriented professional, the Campus Coordinator creates a welcoming, organized, and responsive environment, supporting the Center Director in the day-to-day management of campus operations. They help ensure that families feel informed and supported, staff are equipped to do their best work, and every system—from scheduling to billing—runs smoothly in the background.
This is a high-visibility role that sets the tone for the campus. While experience in early childhood education is not required, success in this role requires a strong administrative background, excellent people skills, and confidence in using digital systems.
Essential Duties And Responsibilities
Welcome and assist all visitors, families, and vendors in a professional and warm manner; act as the go-to resource for parent inquiries and day-to-day needs
Maintain a calm, organized front-of-house presence, ensuring that the reception and entry experience reflects our brand and values
Oversee administrative processes including scheduling, billing, procurement, and compliance tracking using campus systems and tools
Serve as a systems navigator—ensuring that records for children, families, and staff are kept up-to-date and maintained accurately
Support daily campus operations by coordinating logistics, assisting with staff scheduling, ordering supplies, and managing vendor communication
Help plan and coordinate family tours, events, and meetings, acting as a bridge between the Center Director, team members, and families
Ensure that communications are timely and professional, using phone, email, and digital tools as appropriate
Provide real-time support to the campus team when unexpected needs arise—offering flexibility, discretion, and problem-solving on the spot
Contribute to a safe, respectful, and joyful atmosphere, helping uphold a positive culture within the campus
Education
Preferred Skills & Qualifications
Diploma or post-secondary education in Business Administration, Office Management, or a related field
Experience
2+ years of experience in administrative, office coordination, or operational support roles
Prior experience in a school, medical, or service-based environment is an asset
Experience using digital tools and administrative systems (e.g., CRM, billing platforms, scheduling tools)

Work Environment Requirements
On-site role at a Fueling Brains Academy location in Calgary, AB
Active participation in a dynamic educational setting, with occasional interaction with children and families
Ability to assist with light lifting, organizing, or movement of materials/supplies
Comfortable working collaboratively with teaching and operational teams
Comfortable working in a fast-paced, dynamic environment with children of varying needs.
Additional Requirements
Current First Aid & CPR Certification (or willingness to obtain upon hire).
Criminal Record Check & Vulnerable Sector Check (completed within the last 6 months).
