We operate a high-volume transcription and translation business with many small projects moving through multiple workflow stages (order → production → QA → delivery → invoicing).
Our systems are defined and functional. What we need now is a steady, mature operations professional who can monitor the overall flow, resolve issues early, and provide clear operational visibility.
This is not a theoretical process design role.
This is not a corporate strategy role.
This is hands-on operational oversight.
Your mission is simple:
- Ensure projects move smoothly through all stages.
- Catch issues early and resolve them before they escalate.
- Provide clear, calm reporting on the true state of operations.
- Gradually tighten workflow clarity and reduce friction over time.
What You Will Do
- Monitor daily production flow across many small projects.
- Assign tasks and oversee movement between workflow stages.
- Review submissions for completeness and basic quality.
- Catch and correct small operational issues directly.
- Follow up with team members when something is off.
- Ensure orders move cleanly to invoicing and bookkeeping.
- Provide one clear operational snapshot daily report.
- Identify recurring friction and suggest small, practical improvements.
- Escalate only true edge cases. You should aim to resolve most issues independently.
What Success Looks Like
- Projects move smoothly with minimal intervention.
- Issues are caught and corrected before reaching the owner.
- Escalations are rare and appropriate.
- The owner can open one report and clearly understand the state of operations.
- Flow becomes calmer and more predictable over time.
Requirements
- Strong operational judgment.
- Experience managing workflow in a service-based business.
- Comfortable working with high-volume, detail-oriented production.
- Comfortable reviewing documents (Word, Google Docs, formatting, etc.).
- Familiarity with spreadsheets and workflow tracking.
- Calm, steady personality.
- Strong follow-through.
- Comfortable correcting team members respectfully.
- Able to think in terms of system flow, not just individual tasks.
Bonus:
- Experience in transcription, translation, publishing, content production, or similar industries.
- Experience overseeing remote teams.
What This Role Is NOT
- Not a software architect.
- Not a high-level strategy consultant.
- Not purely administrative.
- Not someone who only reports problems. You must be comfortable resolving issues directly.
Initial Structure
The first week will focus on learning the workflow and producing a clear operational snapshot of project flow. Early issue detection and resolution are expected immediately.
