Project Scope:
1. Customer Data Migration
Migrate ~8,000 customers from Heartland POS/Access to Shopify
Ensure emails, phone numbers, addresses, tags, and more notes are clean
Test import with a small batch first
2. Shopify Setup
Configure Shopify POS for in-store payments
Set up 50% deposit and balance due workflow for custom orders
Optional: configure Shopify online store for future use
Train staff on Shopify POS usage
3. Inventory and SKU Migration
Export inventory/SKUs from Heartland POS
Clean and format CSV for Shopify
Import products, SKUs, and quantities
Ensure variant options (i.e. size, color) are correctly integrated
Verify stock levels to match actual inventory
4. Airtable Setup
Build Airtable database to track customers, measurements, orders (linked to Shopify), and optionally fabrics/materials
Orders table should track garment type, fabric, buttons, deposit, balance due, production status (i.e. cutting, sewing, fitting, finished, delivered), and production notes
Link Shopify customers/orders to Airtable records by email or order ID
Optional automation: sync new Shopify customers/orders to Airtable
5. Training and Documentation
Provide clear written instructions for staff on using Shopify POS and Airtable
Conduct training sessions
Requirements:
Proven experience with Shopify, Shopify POS setup
Airtable database design and workflow experience
Data migration experience, ideally from Access or Heartland POS
Experience handling large datasets (customers 8,000+ and inventory)
Clear communication and documentation skills
Deliverables:
Fully functional Shopify/POS system
Airtable base with production workflow
Linked integration between Shopify and Airtable
Staff training materials, including reference materials
Timeline:
4-6 weeks from start, including testing, validations, and staff training
Budget:
$3,000-$5,000 for the right candidate with proven experience handling Shopify POS, Airtable, and end-to-end data migration
Contract duration of 1 to 3 months.
