We're looking for a sharp, organized, and proactive Project Manager / Virtual Assistant to own our client success operations. You'll be the connective tissue between our team and our clients — making sure nothing falls through the cracks, assignments get delivered on time, and every client feels supported and taken care of.
What You'll Be Doing:
∙ Managing day-to-day client communications (email, Slack, or messaging platform)
∙ Tracking client progress through our program milestones and deliverables
∙ Assigning and passing off tasks/deliverables to the appropriate team members
∙ Following up with clients on outstanding items, check-ins, and next steps
∙ Keeping our project management tools (e.g., Trello, Asana, ClickUp, or similar) organized and up to date
∙ Flagging at-risk clients or issues before they become problems
∙ Coordinating between internal team members to ensure timely fulfillment
∙ Maintaining SOPs and helping improve internal workflows over time
∙ Light scheduling and calendar management as needed
Who You Are:
∙ Extremely organized with strong attention to detail
∙ A clear, professional communicator — written and verbal
∙ Self-starter who takes ownership and doesn't need to be micromanaged
∙ Comfortable working in a fast-paced, small-team environment
∙ Experience managing clients or projects inside a coaching program, agency, or service-based business is a strong plus
∙ Familiar with tools like Trello, Asana, ClickUp, Google Workspace, Slack, GoHighLevel (GHL), or similar platforms
∙ Available during U.S. business hours (at least significant overlap)
Bonus Points If You Have:
∙ Experience in the credit repair, business funding, or financial services space
∙ Background working inside an online coaching or course-based business
∙ Experience with GoHighLevel (GHL) or similar CRM platforms
Details:
∙ Part-time to start with potential to grow into full-time based on performance
∙ Ongoing / long-term position
∙ Hourly rate (open to discussing based on experience)
