About the Role
The Operations Administrative Assistant will be responsible for all administrative duties related to supporting the Toronto plants to ensure smooth day-to-day operations of the business. We are seeking a hardworking individual who is organized, efficient and works well as a team.
Duties & Responsibilities
Operations:
- Assist in creation of AFE, SOP, ACE, training documents, training videos for Toronto Chiefs.
- Edit Standard and Emergency Operating Procedures (SOPs, EOPs) at the Chiefs' direction.
- Take minutes and action items in meetings – weekly Ops KPI meetings, monthly TW Ops meetings, Operations coordination meetings, monthly plant safety meetings, external meetings, other.
HSE:
- Track and update employee training records in SALUS and OSG, ensuring training compliance across all sites and new hires.
- Maintain current versions of HSE procedures, forms and standards are stored within SharePoint.
- Assist with uploading and correcting forms in SALUS, tracking corrective action completion.
- Schedule meetings, prepare slides and minutes.
Supply Chain:
- Process PRs for Toronto chiefs, collecting and attaching supporting documents as required
- Issue Purchase Orders to suppliers as per the limits of the DoA
- Manage Purchase Orders with suppliers for Toronto Plants, ensuring confirmation of delivery dates and price are received from suppliers
- Clear Invoice discrepancies for the Toronto Plant
- Escalate Supplier-related issues as required to the Supply Chain team
Qualifications or Skills Required:
- Be able to work safely in a team environment or independently.
- Attendance, punctuality, appearance, strong communication, interpersonal skills, team player and positive behavior required to foster positive relations
- Ability to interact positively with team members.
