Right now, we are looking for an Executive Assistant to provide executive level, confidential administrative support to both the Vice President, of Post Acute Care & Health System Partnerships and the Chief Information Officer and serve as the primary point of contact for both areas.

The Executive Assistant to the Vice President, of Post Acute Care & Health System Partnerships and the Chief Information Officer will provide operational oversight of two portfolios including the Post Acute Care & Health System Partnerships and the Chief Information Officer's Portfolio. They will perform a wide range of administrative and operational support functions for day-to-day operations in the assigned executive office; coordinate day-to-day functions and related projects within their immediate office.

This individual will be responsible for providing confidential and advanced administrative duties supporting the business agendas for the Vice President, of Post Acute Care & Health System Partnerships and the Chief Information Officer and will interact with multiple internal and external stakeholders, upholding the highest standard of professionalism and confidentiality.

Employment Status:  Temporary Full TimeDuration up to November 1, 2026Hours of Work:   8:30am :4:30 pm  - flexibility required.Location: Humber River Health, Wilson Site Labour Group: Non-Union

Salary Range: $77,620.49-$97,084.86 Reporting Relationship: Vice President  Post Acute Care and Chief Information Officer

Key Responsibilities (but not limited to):


• Provide primary administrative support to Vice President Strategy and External Relations (VP S&ER) and the Chief Information Officer (CIO) and secondary administrative support to assigned staff within their reporting structures; exercise confidentiality in the management and release of all information; participate in project assignments within assigned Senior Management Team (SMT) reporting structure


• Act as the assigned office's first point of contact for internal and external contacts to facilitate smooth, effective, and accurate information flows; balance priorities; respond to issues brought forward by leaders, staff, patients, patient families, volunteers, etc.; de-escalate complaints and refer to leadership staff for resolution


• Liaise and collaborate with executives and other executive and program assistants to communicate information, and coordinate / participate in cross-functional projects


• Research/investigate topics and develop summaries / reports /briefing notes/presentations using internal and external resources.


• Monitor and maintain office correspondence; draft responses to general issues; coordinate resources to support the executives in addressing identified issues; compose or edit a variety of highly confidential documents


• Maintain corporate manuals, policies, and procedures, and produce documents for various audiences.


• Research data sources; prepare summary documentation to support ideas, departmental projects and initiatives; access and review corporate systems information to analyze data, and compile a variety of statistical and / or qualitative reports.


• Coordinate and monitor calendars, meeting logistics, and special event logistics.


• Arrange corporate travel to conferences and other events in compliance with corporate travel requirements and processes


• Develop and maintain organized filing systems; maintain records; locate files, documents, and other information


• Support assigned projects within assigned reporting structure; track project timelines against targets


• Track and monitor reporting and other deadlines required to meet reporting requirements


• Other administrative duties assigned.

Qualifications:


• High school graduate or equivalent.


• Completion of a Community College Office Administration Diploma (preferably Medical) or equivalent required, health administration focus preferred.


• Undergraduate degree in business management preferred.


• A minimum of (5) five years providing administrative and executive support required, in a healthcare/hospital environment preferred.


• Knowledge of medical and information technology terminology is an asset.


• Demonstrated excellent computer skills required, including Microsoft Word, Excel, Power Point, Zoom, Microsoft Team, and Outlook.


• Good organizational and problem solving skills required, including an ability to prioritize a varied and busy workload. Demonstrated ability to cope with tight deadlines and frequent interruptions.


• Good keyboarding skills with a minimum typing speed of 60 wpm.


• Exceptional analytical and information-seeking skills that contribute to effective decision-making and strategic planning and execution of action plans that deliver results and motivate individuals for greater performance excellence.


• Proven business acumen and financial management.


• Self-directed, courageous, and highly motivated with excellent interpersonal and communication skills


• Demonstrated track record as a highly regarded contributor within a management team


• Exceptional interpersonal, facilitation and negotiation skills.


• Knowledge and ability to facilitate meetings, conduct effective briefings and presentations both internally and externally with stakeholders who reflect the full range of diverse objectives.
