Position Overview
Responsible for providing administrative support for the Communications department and standing/ad hoc committees. This position is under general supervision and operates with independence. The incumbent receives new assignments in the form of verbal, written or email guidelines from communications officers or other union staff, and is required to exercise initiative in the organization of their related duties.
Key Responsibilities
Provides administrative support to the Communications department and committees as assigned.
- Assists with scheduling meetings for the department.
- Sets up meeting rooms, arranges catering and distributes copies of meeting agendas. Ensure meeting rooms are tidied up following a meeting.
- Takes department or committee meeting minutes and records action items.
- Books travel and accommodation as requested.
- Ensures the department storage room is organized, and items are inventoried.
- Monitors email inboxes and forwards emails to the appropriate parties for response.
- In collaboration with the communications team, assists with organizing the electronic filing system for the department.
- Responsible for preparing and packaging promotional materials to send out to regions and members for events, campaigns, and other initiatives.
- Assists with compiling data and analytics as required.
- Create purchase orders in NetSuite as requested.
- Supports officers with administrative tasks related to projects and initiatives.
Provides support at events, conferences, or campaigns.
- Assists with gathering items (signs, flags, walkabout cards, etc.) to support worksite campaigns, events and conferences and ensures that items are returned to the storage room.
- Assists with set-up of on-site event registration and provide on-site event support as assigned.
- Assist with member event registration and hotel room booking administration as needed.
- Assists with virtual meetings/events (town halls) including registration link, event registration, event debriefs and feedback processes.
Works with digital communications technologies to support communication priorities.
- Assists with updating the BCNU website as required.
- Assist with Cvent as required.
Performs other related duties as assigned.
Qualifications
The successful applicant must have:
- A certificate or diploma from a recognized Office Assistant or Applied Business Technology program and a minimum of two years of experience in a similar role, or an equivalent combination of education, training, and experience. Additional education from a recognized institution in a communications-related field of study (marketing, journalism, public relations, etc.) and/or experience would be considered an asset.
- Strong technical skills and the ability to learn new software and digital applications as they relate to ongoing support of department needs. Demonstrated ability to use Microsoft Office applications at an advanced level.
- Excellent service skills, adaptable, and takes a proactive approach to problem solving.
- Demonstrated ability to communicate effectively both verbally and in writing.
- Knowledge of office methods, procedures, and filing systems. Strong attention to detail, organizational skills, and the ability to multitask and manage competing demands. Completes work in a timely manner and monitors own work to ensure quality.
- Ability to work well independently and collaboratively within a team.
- Ability to manage correspondence and research information.
- Ability to simultaneously listen and record minutes.
- Ability to type a minimum of 65 wpm.
