Position Summary
The Gift Administration Assistant (GAA) performs with a wide variety of processes and procedures related to donor contributions received and processed by NCC. GAA analyzes gift and commitment information and documentation from various sources and updates donors' records as appropriate. GAA responds to inquiries from NCC staff and resolves questions and concerns related to gift and commitment information in the database.
Key Responsibilities:
- Ensuring information on cheques received at the office or cash are accurate and valid by conducting a review and confirm accompanying documents.
- Coordinating bank deposits for the day, preparing a listing for Gift Administration and Treasury staff.
- Responsible for record keeping of Replacement Receipt Request file from Supporter Services, Regional staff and donors and issue replacement, duplicate or corrected tax receipts in a timely manner.
- Uploading revenue (gift and non gift) back up documentation as Media items into RE as per monthly financial reporting schedule.
- Maintaining register of all postdated cheques received at National office and ensuring for deposit on respective due dates.
- Maintaining and validating receipt register on all NCC issued receipts.
- Completing daily reconciliation of financial data recorded in RE with daily bank statements.
- Downloading daily disbursement report from BBMS to be used for daily bank to Raiser's Edge reconciliation.
- Scan daily donations and supporting documents to the appropriate location for other Gift Administrators as required.
- Provide data entry support for transactions without scanlines on coupons scanned by DM processing vendor.
- Creating records in Raiser's Edge from the New Record Creation Request Form.
- Updating records (name, address and solicit codes) in Raiser's Edge from the Record Update Request form.
- Creating Major gifts batches with deposit line items from bank statement.
- Review and standardizing various monthly revenue status files completed by Gift Administrators.
- Undertaking database clean-up such as deleting old queries and exports, merging simple duplicate records in RE under the supervision of Manager, Gift Administration.
- Ensuring revenue back up above certain $ threshold is added in RE records for fiscal yearend audit.
- Responsible for keeping hard copies of revenue back ups received at the office, inventory of back ups according to books and records requirement, and send them out to external storage annually.
- Responsible for issuing and delivering acknowledgement receipts for entities and payments that do not require income tax receipts.
- General administrative duties such as filing, photocopying, and scanning.
- Supporting Manager, Gift Administration and Director, Database & Gift Administration as required.
- Assisting data/gift entry in RE as required.
- Assisting with the annual audit.
- Other duties as assigned.
Position Requirements
- College diploma or equivalent combination of education.
- Minimum of one (1) year of data input, database and or/other directly related experience required.
- Experience with non-profit database.
- Ability to quickly acquire and apply new skills and knowledge for one or more processes or areas.
- Ability to maintain high level of accuracy while meeting deadlines.
- Solid customer service skills with the ability to communicate effectively verbally and in writing as well as using good judgement in situation requiring initiative and tact.
- Microsoft Office Products skills (incl. Word, Excel, Outlook).
- Ability to work under pressure and meet deadlines.
