Job Overview
We are seeking a detail-oriented and organized Office Administrator to join our team. The ideal candidate will be responsible for managing daily administrative tasks, supporting financial processes, and ensuring smooth office operations. This role offers an excellent opportunity to utilize accounting software and bookkeeping skills in a dynamic environment. The Office Administrator will play a key role in maintaining accurate financial records, managing accounts, and supporting budgeting activities to help the company achieve its operational goals.
Responsibilities
- Manage and maintain accounting records using accounting and scheduling software such as QuickBooks and HC Pro.
- Process accounts payable and accounts receivable transactions accurately and timely
- Perform bank reconciliations and account analysis to ensure financial accuracy
- Assist with payroll processing and related documentation
- Conduct account reconciliation and prepare reports for management review
- Support budgeting activities by tracking expenses and revenue against forecasts
- Maintain organized records of financial documents, invoices, and receipts
- Support general office administration including correspondence, scheduling, and document management
- Collaborate with external auditors or accountants during audits or financial reviews
Skills
- Proficiency in software such as QuickBooks Online and Housecall Pro are essential.
- Strong understanding of bookkeeping principles and accounting practices
- Experience with payroll processing and related software tools
- Ability to perform account reconciliation, bank reconciliation, and account analysis accurately
- Excellent organizational skills with attention to detail
- Strong communication skills for effective collaboration with team members and external partners
- Knowledge of budgeting processes and financial reporting standards is a plus
- Ability to prioritize tasks efficiently in a fast-paced environment
This position is ideal for candidates who are meticulous, proactive, and have a solid foundation in accounting practices. The Office Administrator will be instrumental in ensuring the accuracy of financial data while supporting overall office efficiency.
Job Type: Full-time
Pay: $25.00-$40.00 per hour
Expected hours: 44 per week
