POSITION DESCRIPTION: 

The Bargaining Coordinator is a critical member of the highly skilled team that delivers end-to-end administrative support for our collective agreements and the broader negotiations process, including pay equity. They will work in collaboration with the member Service and Labour Relations teams to deliver collective agreements to our members in a timely manner. They will work in close partnership with our bargaining team to provide effective administrative support for the negotiations process through the preparation, distribution and retention of a wide range of correspondence and documentation. They will also be responsible to provide administrative support for all aspects of the interest arbitration process. 

This position is a temporary position for 12 months and is working at our Head Office in Richmond Hill, Ontario.

DUTIES AND RESPONSIBILITIES:

  1. Documentation and Correspondence Management
  • Responsible to prepare and send notices to bargain, conciliation, no-board, and other related forms and correspondence.
  • Draft, edit, proofread, and finalize correspondence, including forms, memos, letters, SEIU Member Mobile App, statements, and other documents.
  • Respond to calls, in-person, or electronic inquiries, and/or forward to the appropriate person.
  • Photocopies and collates related documents for distribution, mailing, and filing.
  • Sends and receives various correspondence, messages, and documents using electronic platforms (DocuSign).
  • Maintains records of correspondence and files of negotiation-related activities.
  • Provides administrative support and document preparation for all interest arbitration cases.
  • Bargaining binder creation.
  • Maintains records and provides administrative support for new certificates from the Ontario Labor Relations Board and negotiation history.
  • Notify NHRIPP and SEIU Local 1 and 2 Benefit Trust of amendments and inclusion of new language in the collective agreement.
  • Sends reminders to representatives for intake files and internal researcher reminders (3 months before hearings or disclosures).
  • Attend all departmental meetings and take minutes.

2. Process Coordination and Support

  • Monitors and archives the progress of negotiations to ensure that timelines and deadlines are met.
  • Assists the negotiation process through the preparation and distribution of a wide range of correspondence and documentation.
  • Review and update collective agreements by incorporating settlements and awards, and draft new agreements for processing.
  • Correspond with the employer to ensure accuracy and completeness of awards and settlements in new agreements.
  • Offsite assistance at central negotiation tables as required.
  • Pay equity meeting coordination.
  • Carriage and circulation of ratified Memoranda of Settlement (MOS) and awards.
  • Negotiation file process: search, create, audit, track, and maintain negotiation files from start to finish.
  • Administrative support for General Membership Meetings (GMMs) for ratification meetings, proposal meetings, and selecting committee members.
  • Coordination of committees (e.g., Bargaining Committee).
  • Reconciliation of invoices as required.

3. Scheduling and Database Management

  • Scheduling of all types of meetings and associated requirements, including hotels, catering, and travel.
  • Manage scheduling functions for interest arbitration with legal consultants and liaise with directors, researchers, and representatives.
  • Manage databases and catalog Rights Arbitration Hearing Notices.
  • Maintain, create, and update leave of absence requests on the database and reconcile all expenses related to these events.
  • Monitor and update databases for retirement homes/LTC, including new builds, ownership transfers, and new licensees through government databases.
  • Other duties as assigned.

EDUCATION

GENERAL REQUIREMENTS

  • Three (3) or more years of experience as a Secretary/Administrative Assistant in a Unionized Environment

SKILLS & COMPETENCIES REQUIRED:

  • Demonstrated understanding of the collective bargaining process including the preparation of notices, forms, and supporting documentation.
  • Demonstrated understanding to create, maintain, and audit records, particularly related to labour negotiations and agreements.
  • Ability to prioritize and meet deadlines for labour relations and bargaining-related activities, including tracking timelines for notices and agreements.
  • Proficient in drafting, editing, proofreading, and finalizing various documents related to collective bargaining and labour relations.
  • Ability to effectively type, transcribe and perform other word processing functions using Microsoft Word.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) for managing correspondence, schedules, and records.
  • Ability to work independently and cooperatively with others in a team environment.
  • High degree of initiative, good judgment, good organizational skills, and the ability to work under strict deadlines.
  • Ability to determine priorities and problem solve with minimum supervision.
  • Demonstrated ability to communicate with union representatives, internal stakeholders, and employers in a clear and professional manner.

PHYSICAL DEMANDS/ WORKING CONDITIONS / ENVIRONMENT

  • Office work can include prolonged periods of sitting at a workstation and certain repetitive movements associated with such work.
  • Using a computer for prolonged periods of time.
  • Frequent use of telephone.
  • Lifting and moving supplies and materials up to 25lbs.
