Your Role
This is an in-office Accounts Payable and Office Administration role reporting to the Controller and supporting a busy, centralized head office. The position focuses on purchasing administration and accounts payable, while also providing exposure to broader accounting support and internal coordination across construction, development, and property management teams.
Success in this role is defined by organization, confidence, and strong process discipline. You will be responsible for managing a high volume of purchase orders, invoices, approvals, and supporting documentation, while coordinating with project managers, site supervisors, property managers, and internal stakeholders who rely on your follow-through. The ability to track work in progress, chase approvals, maintain clean and accurate documentation, and ensure nothing falls through the cracks is critical to success.
In this role, you will prepare, issue, and manage purchase orders once appropriate coding and approvals are received, and you will review invoices and purchase requests to ensure accuracy, completeness, and proper authorization. You will be responsible for matching purchase orders, invoices, and supporting documentation, distributing approved purchase orders to vendors and internal stakeholders, and following up across multiple teams to ensure timely processing. Resolving discrepancies related to pricing, quantities, or billing issues will be a regular part of your day-to-day work, as will maintaining organized records that support internal controls and auditability.
You will also act as a primary point of contact for vendors regarding purchase orders and invoice-related inquiries and will be responsible for tracking and maintaining required vendor compliance documentation, including WSIB clearance and Form 1000 documentation. Ensuring that compliance requirements are satisfied prior to payment processing is a key component of the role and plays an important part in protecting the organization's risk profile and maintaining strong vendor relationships.
Over time, as you build confidence in the organization's internal processes, including coding, approvals, compliance requirements, and system workflows, you will be expected to operate with increasing independence and become a trusted point of control within the accounting function. This is not a role measured by speed alone, but by accuracy, consistency, and the ability to manage complexity within a structured and disciplined environment.
What Sets You Apart
You are highly organized, detail-oriented, and comfortable managing multiple workflows in a busy office environment. You communicate confidently, follow up effectively, and are not afraid to coordinate across teams to move work forward. You bring two to four or more years of experience in accounts payable, purchasing administration, accounting support, or office administration, and you are systems-oriented with an interest in learning and improving processes.
Experience in real estate, construction, or property management is considered an asset but is not required. More important is your ability to learn, stay organized, and build confidence within structured processes.

Compensation
An expected annual base salary of $60,000–$65,000 is offered, including eligibility for a discretionary bonus based on individual and company performance.
