Position Overview
We are seeking an experienced Meetings and Events Travel Coordinator with deep technical expertise in GDS systems and group travel logistics. In this role, you will oversee the configuration, coordination, and execution of large-scale travel arrangements for meetings and events. You will be expected to operate independently, troubleshoot technical issues, and deliver seamless solutions that meet both operational and attendee needs.
Key Responsibilities
Travel Coordination & GDS Expertise
- Manage complex group travel bookings using GDS systems (preferably Sabre, Amadeus, or Galileo), including ticket issuance, exchanges, refunds, and queue management
- Interpret and apply fare rules, airline contracts, and group booking terms to ensure compliant and cost-effective arrangements
- Own the end-to-end travel booking process for meetings and events, with minimal supervision
Technology & Platform Integration
- Configure and manage platforms for event registration, booking, and attendee tracking
- Maintain online group booking parameters in the Online Booking Tool (OBT), ensuring integration with back-end systems and compliance with security and privacy standards
- Collaborate across teams to integrate GDS bookings with internal systems and event management tools
Support & Optimization
- Train and support internal stakeholders on GDS, OBT, and registration platforms
- Troubleshoot booking and platform issues in collaboration with vendors and tech teams
- Monitor industry and technology trends, and recommend innovations to improve efficiency and traveler experience
Operational & Event Support
- Coordinate logistics and deliverables in support of meetings and events, ensuring attendee travel aligns with event schedules and policies
- Prioritize tasks effectively and manage multiple complex projects under tight deadlines
- Liaise with suppliers and stakeholders to ensure policies, timelines, and goals are met
Do You Have What It Takes?
We’re seeking a highly skilled and autonomous travel professional with the following qualifications:
- 5+ years of experience in corporate travel, with strong GDS proficiency (e.g., Sabre, Amadeus, or Galileo)
- Extensive experience managing group travel logistics, including group fare contracts, exchanges, and large-scale itinerary planning
- Strong understanding of event planning software, travel booking platforms, and attendee management tools
- Exceptional organizational skills with the ability to manage multiple projects simultaneously in a fast-paced environment
- Highly motivated to work independently, with minimal supervision, while delivering exceptional results
- Excellent communication skills, a proactive mindset, and the ability to anticipate needs and adapt to changing circumstances
- Strong problem-solving skills, with the ability to diagnose and resolve technical issues efficiently
- Excellent communication and collaboration skills to work with cross-functional teams and external vendors
- Knowledge of data security and compliance standards related to travel and event management technology
- Bilingual proficiency in English and French is preferred
