The job is to be the coordination hub of the business- staying on top of emails- sending emails to the particular person who will handle them and then following up and ensuring the deliverable is complete, updating tasks and projects in Asana project management, inputing new tasks, companies and requests into calendar, service management software (field circle/Zapium), mark emails that the president must specifically deal with, follow up on materials deliveries, coordinate work, schedule tasks and ensure the company is on task, responding and following up on 100% of emails, requests, RFQs and tasks.
Structure-
Hours- company works 8 AM to 6 PM Monday thru Friday Pacific Standard Time. This role will be part time to start with the idea being to work into a full time role as work allows and you feel comfortable enough to do the job completely and independently.
It will be important to be able to meet during pacific standard time working hours with the president, particularly in the beginning and be able to follow up and work during business hours in pacific standard through eastern time zones.
Each day, you and the president will meet to discuss handling of emails, routing of requests, etc. in order to ensure you're able to effectively do your job. There will be a note repository where you can save message handling, questions and tasks in order to review daily. As time goes on, daily meetings will be reduced to weekly once you're able to handle the majority of tasks independently and from part time to full time as you have enough work to keep busy for 8 hours per day and you are capable to handling that work independently.
Requirements:
Fluent in English
Able to make phone calls in US time zones during working hours- phone app will be provided for use
Able to clearly communicate in writing and via phone in English
Able to coordinate between multiple people to ensure proper preparation for work
Able to enter data accurately and track multiple tasks and items to coordinate site work and ensure on time delivery
Able to work independently and proactively to ensure seamless operations
A dialpad phone number, a Loom video account for sharing videos and communications and a google workspace email and tools will be provided for you to do your work- it is assumed you have your own computer and phone you can use with those softwares to accomplish the job.
