We're a fast-growing medical devices company supporting surgical teams. We're looking for a reliable, detail-oriented Virtual Assistant to help keep day-to-day operations and administration running smoothly. This role is part-time to start (15–25 hours/week, roughly 3–5 hours/day) with potential to scale to full-time as workload grows. Bonus if you're based in Mexico City and open to occasional in-office support.
What you'll do:
- Support surgery coordination admin as needed (forms, confirmations, documentation, and logistics follow-ups)
- Maintain clean records so information is easy to find and nothing slips through the cracks
- Collect, validate, and organize reimbursement documentation, and flag missing details early
- Assist with creating sales orders, invoices, and basic invoicing follow-up
- Maintain spreadsheets and lightweight reporting
- Occasional outbound calls/messages to clients for reconciliation or confirmation of invoice/payment details
- General admin support for Operations and Administration (calendar support, light scheduling, confirmations, email triage/routing, organizing/tagging/summarizing, and drafting replies)
Skills we're looking for:
- Extremely organized and detail-oriented; you love consistency and clean processes
- Strong follow-through; comfortable nudging stakeholders for missing info
- Comfortable with spreadsheets
- Fluency in Spanish is required; English is a plus
- Tech-comfortable; bonus if proficient with Google Workspace, Notion, and Odoo
Nice to have (but not vital):
- Based in Mexico City and open to in-office support
- Experience in healthcare operations, logistics, invoicing, or administrative coordination
- Familiarity with Mexican invoicing concepts (CFDI/RFC basics)
Availability:
- 15–25 hours/week to start (3–5 hours/day)
- Set daily working hours aligned with the team's schedule (we'll confirm the exact window together)
- Potential to scale to full-time depending on fit and workload growth
- Some time-sensitive tasks require same-day turnaround (we'll align on schedule)
