Support Project Managers, Project Engineers, and field staff with day-to-day administrative and coordination tasks.
We are looking for a Construction Virtual Assistant (VA) who will provide remote administrative and project support to our construction team, ensuring project information is accurate, organized, and accessible.
Create, format, and update project documents, including RFIs logs, submittal logs, change order logs, meeting minutes, and trackers.
Assist with organizing and maintaining electronic project files (plans, specs, contracts, photos, correspondence) in shared drives or project management platforms.
Schedule and coordinate meetings, video calls, and site check-ins; prepare and distribute agendas and meeting notes.
Help prepare basic reports and summaries (progress updates, status reports, action item lists) from project data and emails.
Enter and update data related to estimates, budgets, purchase orders, and invoices under the direction of the project team.
Assist with initial document reviews to ensure files are complete, properly named, and routed to the correct stakeholders.
Monitor email inboxes or project channels (as assigned), flag priority items, and support timely follow-up and responses.
Update project calendars, trackers, and simple schedules to reflect key milestones, inspections, and deliverable due dates.
Coordinate with subcontractors and vendors for document submissions, basic information requests, and follow-ups on outstanding items.
Support preparation of bid packages by compiling documents, organizing plan sets, and tracking bid questions and responses.
Support procurement and vendor management processes, including quote requests and purchase documentation.
Perform other remote administrative tasks as needed to keep projects organized and moving forward.
Qualifications – Construction Virtual Assistant
At least 2–3 years of experience in an administrative, coordinator, or assistant role; prior exposure to construction, engineering, or real estate is a plus.
Strong proficiency with Microsoft Office or Google Workspace (especially Excel/Sheets, Word/Docs, and Outlook/Gmail).
Comfortable working with PDFs and cloud-based tools (e.g., shared drives, project management or collaboration platforms).
Excellent written and verbal communication skills, with professional email etiquette and clear documentation style.
Strong organizational skills and attention to detail, with the ability to manage multiple tasks and priorities remotely.
Ability to quickly learn construction terminology, document types (plans, specs, RFIs, submittals, change orders), and internal processes.
High level of reliability, follow-through, and responsiveness in a remote work environment.
Ability to work independently with minimal supervision while keeping the team updated on status and outstanding items.
Stable internet connection, reliable computer setup, and a quiet workspace suitable for remote collaboration.
Contract duration of 1 to 3 months. with 30 hours per week.
