Your Opportunity
FBM is seeking a Project Administrator to support the day-to-day execution of projects across the firm. Reporting directly to the Project Controls & Scheduling Lead, you will be assigned to specific projects to provide dedicated support to our Project Managers (PMs).
This role is critical to ensuring projects are established accurately, schedules are maintained consistently, and project data is reliable and usable. As our first Project Administrator, you will have the unique opportunity to help shape this new function while charting your own path to success within a rewarding and growing career in our firm.

Responsibilities
Financial & Data Management
Assist with project set-up in FBM's financial management system (Ajera), including Project Set-Up Forms (PSFs) and budget entry.
Support financial monitoring, budget analysis, and monthly invoicing in coordination with the Finance team.
Maintain accurate records of project revisions, scope changes, and forecasting.
Monitor cost and schedule data to flag potential risks or variances.
Operational Support
Support PMs with project initiation, coordination of documentation, and internal kick-off plans.
Assist with the weekly schedule update process and first-pass reviews of project reports.
Manage project documentation in accordance with FBM's quality standards.
Contribute to the evolution of this new role by taking on additional responsibilities and process improvements as the position grows.
Collaborative & Team Integration
Follow and support the continuous improvement of project controls standards.
Collaborate with others to promote understanding and provide necessary project support.
Demonstrate a commitment to ongoing learning, mentorship, and professional development.
Qualifications
Education: Post-secondary education in project management or an administration-related program.
Soft Skills: Exceptional attention to detail, strong interpersonal skills, and the ability to multi-task in a collaborative environment
Experience
Experience: 2+ years experience in a Project Management, Project Controls, or similar operational role is an asset.
Technical Skills: Proficiency in Microsoft Office (specifically Word and Excel) and an understanding of basic accounting principles.
Industry Knowledge: Experience in a professional services consulting firm (accounting, engineering, environmental, or planning) is considered an asset.
