Location: Edmonton, Alberta
Position Type: Full-time, Project-Based

Wage/Salary Range: Competitive salary based on experience; overtime eligibility as per project requirements

Shift Schedule: Monday to Friday with occasional extended hours based on project and month-end requirements

Hours Per Day: 8–10 hours per day

Job Overview:
GrizzlyTrek is currently seeking one Field Material & LEMS Coordinator to join our Valued Clients team on-site at a major industrial construction project in Edmonton. This full-time, project-based role is ideally suited to a detail-oriented and highly organized professional with experience in material management, cost control, and field data validation within a construction or industrial environment.

Responsibilities:

  • Coordinate the procurement, delivery, receiving, storage, and distribution of materials and equipment to support construction schedules.

  • Develop and maintain material tracking systems to monitor inventory levels, deliveries, usage, and material status across site laydown and storage areas.

  • Inspect incoming materials and equipment to ensure quality, compliance with project specifications, and accuracy against purchase orders and shipping documentation.

  • Resolve material-related discrepancies including shortages, damages, and incorrect shipments in coordination with suppliers and procurement teams.

  • Maintain accurate records of material transactions including receipts, issues, returns, and inventory adjustments.

  • Coordinate safe and efficient material handling and storage activities in accordance with site safety standards.

  • Collect, review, and validate daily LEMS tickets including labour timesheets, equipment hours, material issues/receipts, and subcontractor dockets from site contractors.

  • Ensure LEMS entries align with WBS, CBS/cost codes, activity IDs, cost types, and contract structures.

  • Verify LEMS data against contract rates, markups, standby rules, shift premiums, thresholds, and charge-out policies.

  • Cross-check LEMS documentation against crew sheets, equipment logs, material receiving reports (MIRs), and subcontractor daily reports; resolve discrepancies with construction managers and coordinators.

  • Track changes, extra work, time and material documentation, and site instructions; identify and escalate variances or unapproved scope consumption.

  • Maintain master data including cost codes, equipment lists, materials catalogs, and subcontractor accounts in coordination with Project Controls and Accounting.

  • Interface LEMS data with cost reports, earned value calculations, accruals, committed cost tracking, and month-end cutoffs.

  • Produce daily and weekly dashboards including crew hours, equipment utilization, materials consumption, subcontractor performance, and exception reporting.

  • Provide trend analysis and forecasting support based on productivity metrics and remaining scope.

  • Serve as the primary point of contact for LEMS-related inquiries and provide training to foremen, superintendents, subcontractors, and administrative personnel on processes and standards.

Qualifications:

  • Diploma or degree in Supply Chain Management, Business, Accounting, Engineering, Construction Management, or a related field; equivalent experience will be considered.

  • 3–5+ years of experience in material coordination, project controls, field administration, cost control, or commercial administration on construction or industrial projects.

  • Experience with LEMS or similar field data capture systems, ERP/cost systems, and subcontract administration.

  • Strong knowledge of material management principles, practices, and procedures within a construction environment.

  • Proficiency in Microsoft Excel including pivot tables, lookups, and data validation; familiarity with reporting tools such as Power BI is an asset.

  • Working knowledge of ERP/cost systems such as SAP, Oracle, or JD Edwards, and understanding of timesheet, equipment management, and materials/inventory modules.

  • Understanding of WBS/CBS structures, earned value principles, coding standards, contract rate tables, and time and material processes.

  • Strong organizational, analytical, and multitasking skills with the ability to perform effectively in a fast-paced and dynamic project environment.

  • Excellent communication and interpersonal skills with the ability to coordinate across field and office teams.

Preferred Qualifications:

  • Familiarity with union agreements, shift differentials, and industrial construction site logistics.

  • Experience supporting internal or external audits and document control processes.

Work Environment:
This position is site-based within an active industrial construction environment in Edmonton. The role requires frequent coordination between field operations, laydown yards, warehouses, and project controls teams, with a strong focus on safety, accuracy, and schedule-driven performance.
