Project Coordinator – Urbacon

Role Objectives

The Project Coordinator will assist with the planning, execution, and delivery of construction projects. The ideal candidate will coordinate between project teams, subcontractors, suppliers, and clients to ensure projects are completed on time, within budget, and in accordance with quality and safety standards.

Responsibilities

  • Organize required permit applications (if applicable for the project);
  • Assist in the preparation of sub-trade bids and evaluate bids;
  • Handle progress claims – review, verify amounts, prepare statutory declarations and prepare the certificate of payments;
  • Respond to and track correspondence received, meeting minutes, change orders, site instructions, owner's instructions, shop drawings and drawing log as appropriate;
  • Assist the project manager in coordinating project specifications, including the development of scope of work for tenders, format and edit specifications and prepare bid invitations and coordinate bid submissions;
  • Assist in the preparations and coordinate contract and sub-contract change requests and change orders; prepare and coordinate field notices;
  • Coordinate superintendent, sub-trade requirements;
  • Liaise between office and field operations in the coordination of all construction activities;
  • Maintain project files;
  • Coordinate the submission and review compliance with contract documents and of operating and maintenance manuals, and at project closeout
  • Assist the project manager with the assembly of monthly reports and process sub-trade orders;
  • Coordinate with Authorities Hiring Jurisdiction for project inspections and with design consultants;
  • Coordinate specific Project Insurance with Company Office Manager the submission and review for compliance with Municipal standards;
  • Assist the Project Manager in approving supplier invoices and coordinate payments with accounting
  • Be the point of contact between the Design Team and the Municipality;
  • Scheduling and assist the project manager and site supervisor in schedule development and construction projects maintenance.

Candidate Requirements

  • Entry Level
  • Maintaining a valid Ontario class "G" driver's license and having access to a vehicle for the purpose of performing duties;
  • Graduate from a relevant construction related post-secondary program;
  • Familiar with all aspects of obtaining building permits in Ontario;
  • Ability to read and understand construction drawings and specifications;
  • Previous experience preparing and managing construction documents
  • Knowledge of the construction process and timelines of projects;
  • Knowledge of Procore or similar document control software an asset. Skilled in Microsoft Office. Ability to learn new software quickly;

  • Strong interpersonal and time management skills;
  • Excellent communication skills;
  • Excellent command of the English language both written and verbal;
  • Willingness to learn;
  • Detail oriented.

Location & Commitments

  • Urbacon Head Office – 750 Lakeshore Blvd East – 5 days a week
  • Frequent travel to project sites and client locations required
