Job Description:
We are a UK-based property company specialising in HMO management and room-by-room lettings. We are looking for a reliable, proactive and highly organised Virtual Assistant to support with day-to-day operations, primarily focused on booking viewings and managing tenant communications.
This is a long-term role for the right person, starting at approximately 20 hours per week during UK working hours.
Key Responsibilities:
- Booking, rescheduling and organising property viewings (room-by-room lettings)
- Speaking directly with tenants (phone and written communication)
- Responding to SpareRoom enquiries
- Logging and updating enquiries in Podio
- Managing Google Drive and maintaining organised records
- Updating and managing Google Sheets
- Following up persistently on outstanding enquiries
- Chasing documents (ID, referencing info, etc.)
- Writing simple internal "how-to" guides when processes are learned
- Supporting with referencing (training provided)
Requirements:
- Excellent, fluent English (spoken and written)
- Previous experience in UK property / lettings (HMO experience preferred)
- Understanding of room-by-room viewing processes
- Confident speaking to tenants on the phone
- Highly organised with strong time management
- Proactive mindset – able to chase and follow up without being reminded
Comfortable using:
- Podio Training will be provided
- Google Drive
- Google Sheets
- SpareRoom (training will be provided)
Reliable and dedicated
Individuals only (no agencies)
What We're Looking For:
- We need someone persistent. If an enquiry hasn't responded, you follow up. If documents are missing, you chase them. If something is unclear, you clarify.
This role requires ownership, not just task completion.
Hours & Pay:
- Approximately 20 hours per week
- UK working hours required
- Long-term position
- Pay based on experience (please include your hourly rate)
- Potential pay increase based on performance
