Role & Reporting
Role: Administrative Assistant (Client Service Coordinator)
Location: Downtown Vancouver, BC – Hybrid office/WFM possibilities.
Role Overview
The Client Service Coordinator supports transaction files, internal records, and recurring administrative routines. The position is best suited for someone who prefers organized work, clear procedures, and completing tasks accurately and on time. Success in this role comes from reliability, attention to detail, and anticipatory follow-up.
Core Responsibilities
1) Transaction Administration
Support the deal process using structured templates and checklists.
Collect and organize client documentation (IDs, corporate records, etc.)
Maintain KYC/compliance tracker and follow up for missing items
Upload and organize deal files in cloud filing system
Prepare engagement letters, invoices, and direction to pay notices
Track timelines, closing readiness, and required conditions
Send invoices, track payments, and process simple expense payments
2) CRM & Data Maintenance
Maintain accurate and orderly records across internal systems.
Update CRM with progress and notes
Maintain client, mailing, and lender contact lists/database
Maintain internal trackers and transaction logs
3) Administrative & Team Support
Provide day-to-day coordination and organizational support.
Schedule meetings and send calendar invitations
Maintain organized digital folder structure
General administrative assistance as needed
4) Marketing Support (Secondary Responsibility)
Assist with execution of prepared marketing content and materials.
Schedule and publish social media posts – Linkedin/IG
Assist with newsletter formatting and distribution
Prepare simple graphics and presentation materials
Order and coordinate promotional materials and mail-outs
Assist with event coordination logistics
(Marketing strategy and content direction are handled by the team — this role supports execution.)

Candidate Profile
Administrative or office experience preferred

Marketing or finance exposure helpful but not required
Bachelor's degree preferred but not required
