The Rebate & Installation Data Administrator is responsible for preparing and submitting all FormBay jobs for upcoming installations, ensuring accuracy and compliance while removing administrative workload from Install Coordinators.
This role exists to streamline operations, improve data accuracy, and recover 35–52.5 hours per week currently spent by Install Coordinators on repetitive data entry tasks.
This role centralises and standardises the task to improve efficiency and reduce operational bottlenecks.
Key Responsibilities
FormBay Job Creation
- Create and submit all FormBay jobs for upcoming installations the day prior.
- Confirm whether installation is a first installation.
- Enter and verify: Installation details, customer details, installers details, verify with installs coordination team who is doing each job.
- Ensure all required compliance information is complete before submission.
- Add the FormBay reference number to Salesforce once generated.
Installer & Trade Data Management
Maintain a master spreadsheet identifying:
- Installer Company
- Installer
- Designer
- Electrician
- Ensure Installer Name is correctly populated under Installer Company in Salesforce.
- Liaise with the Installation Scheduling team or relevant stakeholders if information is missing.
- Correct data inaccuracies promptly (e.g., incorrect installer details).
Process Improvement & Data Accuracy
Standardise the FormBay creation process.
Reduce reliance on:
- Opening Gantt charts to locate installer information.
- Calling installers to confirm basic details.
- Ensure data is correct before installation day to minimise morning corrections.
- Flag recurring data issues to management for system improvement.
Key Outcomes
- Install Coordinators regain 1–1.5 productive hours per day.
- Reduced installation-day errors.
- Improved data accuracy in Salesforce.
- Faster FormBay submission turnaround.
- Reduced operational interruptions for coordinators.
- More consistent compliance handling.
Skills & Experience
- Strong attention to detail.
- High level of data accuracy.
- Experience with Salesforce or CRM systems.
- Ability to manage repetitive administrative tasks efficiently.
- Strong communication skills to liaise with internal teams and installers.
- Process-oriented mindset with ability to identify inefficiencies.

- Proactive in chasing missing information.
- Enjoys creating systems and improving workflows.
- Able to work independently with minimal supervision.
Reporting Structure
Reports to:
- Operations Manager / Installations Manager
- Works closely with:
- Install Coordinators
- Data Entry Team
- IT Team
This role is remote and will be performed Monday – Friday 11AM – 6–7PM (AEST).
Also note the role will be paid $6–7 AUD p/h (based on experience and at the discretion of the hiring manager).
