We are currently using QuickBooks Online, and our accounting team is facing challenges in structuring the correct workflow for:
Revenue recognition (commission-based model)
VAT handling (UAE and future KSA compliance)
Supplier invoicing (commission invoices)
Supplier payouts (netting model)
Avoiding double counting of revenue
We need an experienced accountant/finance consultant who has hands-on experience with marketplace/platform accounting, not traditional retail accounting.
Scope of Work:
We need you to review our current setup and implement a correct, scalable accounting structure, including:
Revenue Recognition (Critical)
Implement accrual accounting for marketplace commissions
Ensure revenue is recognized when bookings are completed (daily), not when invoiced
Ensure no double-counting between journals and invoices
VAT Treatment (UAE + KSA ready)
Correct treatment of VAT on commission (service to supplier)
Clear separation between operational entries and VAT invoices
Guidance on compliant invoicing frequency (monthly vs per transaction)
KSA ZATCA readiness (high-level guidance)
Supplier Accounting Flow
Correct handling of supplier payables (we collect full amount from customer and owe supplier net)
Monthly commission invoicing to suppliers
Netting process between supplier payable and commission receivable
Clear audit trail
QuickBooks Online Setup
Chart of Accounts tailored for a marketplace (commission income, supplier payable, clearing accounts, VAT, etc.)
Products/Services setup (commission items, VAT mapping)
Correct use of Journal Entries vs Invoices
Ensure P&L and Balance Sheet are accurate and investor-ready
End-to-End Process Design
Daily workflow (how bookings are recorded)
Month-end workflow (invoicing, reconciliation, VAT)
Supplier statement vs invoice structure
Documentation & Training
Provide a simple Finance SOP (step-by-step guide) for our internal team
Walk our accounting team through the process (1–2 calls)
Ensure the team understands the logic, not just the setup
Deliverables:
Final Chart of Accounts
Correct QuickBooks configuration
Step-by-step workflow (daily + monthly)
Example journal entries and invoices
Supplier invoicing & payout flow
Short SOP document for internal use
1–2 live training sessions with our team
Requirements:
Proven experience with marketplace/platform accounting (not just retail or services)
Strong knowledge of VAT in UAE (KSA knowledge is a plus)
Experience with QuickBooks Online
Ability to design scalable processes (high transaction volume)
Strong communication (able to explain concepts clearly to a team)
Nice to Have:
Experience with multi-country VAT (UAE + KSA)
Experience with payment gateways (Stripe, etc.)
Experience with tech startups / marketplaces
Important Note:
We are not looking for basic bookkeeping.
We need someone who understands how companies like Amazon, Careem, or similar marketplaces structure their accounting and can implement a clean, scalable system.

Example of similar work done
Your approach to revenue recognition for a commission-based platform
Contract duration of less than 1 month.
