PROJECT MANAGER
PROFESSIONAL SERVICES
WINNIPEG, MANITOBA, CANADA
POSITION SUMMARY
The Project Manager serves as the strategic steward for a portfolio of projects for their POD as well as the health of each individual initiative. The Project Manager provides oversight and leadership, monitoring portfolio performance within their POD and intervening to maintain momentum and resolve issues in a timely manner. They will be responsible for tracking key performance indicators (KPIs) at both the portfolio and project levels for their POD. Through close collaboration with other PODs the Project Manager is responsible to ensure that resources are effectively allocated, risks are proactively managed, and goals are consistently achieved, delivering value not only on each project, but across their POD's full portfolio of work.
WHAT DOES OUR PROJECT MANAGERS DO?
Project Management
- Lead planning, execution, and delivery of projects, ensuring alignment with organizational goals and client expectations.
- Work closely with the assigned Project Coordinator to ensure administrative activities are being coordinated and completed in alignment with project timelines.
- Provide regular and informative Client communications.
- Adhere to the Communication Requirements SOP including requirements for escalations when the project is off-track.
- Coordinate cross-functional activities, manage resources, timelines, budgets, and deliverables.
- Ensure the project plan reflects the work required to meet the stated deliverables.
- Track progress, and proactively identify and resolve risks or issues.
- Create and obtain sign off on Change Requests as/when required.
- Maintain and manage Risks and Issues for all projects within the POD's portfolio.
- Facilitate regular team, Client and other stakeholder meetings (e.g. MS Team, NOC, SOC, etc.), ensuring clear communications regarding project status, challenges, and opportunities.
- Ensure an exceptional level of quality for both the Client's project delivery experience and the project outcomes.
- Ensure that project documentation, reporting, and compliance requirements are met throughout the project lifecycle.
- Other duties as assigned.
Portfolio Management
- Oversee and manage a portfolio of projects, ensuring strategic alignment with organizational priorities.
- Monitor portfolio-wide performance metrics and intervene as needed to address issues identified.
- Track key performance indicators (KPIs) at both portfolio and project levels to assess health and progress.
- Allocate resources effectively across the portfolio, balancing demands and optimizing utilization and skills.
- Coordinate with other PMs to leverage resources from other PODs.
- Proactively identify, assess, and mitigate risks that could impact multiple projects within the portfolio.
Financial Management and Billable Utilization
- Primary objective is to maximize profitability without impacting quality.
- Monitor and manage project costs, and expenses to ensure delivery within financial targets.
- Maximize billable utilization of resources, tracking and reporting on team productivity and efficiency against targets.
- Review and confirm timely and accurate completion of daily time sheets and expense reports by all team members. Report incomplete timesheets and/or expense reports each day to the appropriate Team Lead.
Operational Excellence and Reporting
- Maintain up-to-date records of team activities, project milestones, and resource utilization for reporting and audit purposes.
- Prepare and present regular status reports and KPIs to stakeholders and leadership for your POD.
- Identify and/or implement continuous improvement initiatives to enhance team operations, productivity, and quality of deliverables and share these with all PMs and leadership so they can be reviewed and adopted as/where appropriate.
Stakeholder Management
- Serve as the primary point of contact between the team, Clients, and internal stakeholders, ensuring transparent and proactive communication.
- Leverage the Project Coordinator for coordination communications and activities.
- Manage client expectations, deliverables, and satisfaction, escalating issues and negotiating solutions as needed.
- Develop strong, trust-based relationships with stakeholders to foster collaboration and support project objectives.
WHAT ARE THE QUALIFICATIONS I NEED TO HAVE?
- Bachelor's degree in business, management, or a related field or equivalent experience.
- Project Management Professional (PMP) or equivalent certification is a strong asset.
- ITIL certification is a strong asset.
- Minimum of 5 years' experience in project management.
- Demonstrated experience overseeing financials, budgets, and billable utilization.
- Excellent organizational, analytical, and problem-solving skills.
- Outstanding communication, interpersonal, and stakeholder management abilities.
- Proficiency with project management and reporting software.
- Experience working in a Managed Services Provider (MSP) environment is an asset.
- Experience with ConnectWise, Kaseya, or other similar MSP tools and software.
- Knowledge and experience working with Microsoft Office 365, Microsoft Azure and other Cloud service offerings.
- Flexibility in your schedule to handle the occasional non-business hours tasks.
- Ability to work under pressure, manage multiple tasks and priorities, and consistently meet deadlines.

WHAT IS THE WORK ENVIRONMENT LIKE?
- Normal office working conditions. Work requires regular sitting/standing at a desk, working with a computer.
- This position requires standing, walking, sitting, using hands, seeing, reaching, talking, writing, and hearing; it may require occasionally carrying or lifting equipment if working on-site.
- Position requires contact with others - in meetings, by phone or by email. Interactions focus on data collection, problem solving, needs analysis and technical work. Interactions are initiated in person or electronically.

- Fast-paced, dynamic environment with multiple concurrent projects and changing priorities.
