About the Role
We are seeking a strategic, people-focused Senior Manager, Administrative & Facilities Management to lead our Executive/Administrative Assistant community and oversee all aspects of office operations and facilities management. This role is central to ensuring seamless executive support, an exceptional in-office experience for staff and clients, and a safe, compliant, and cost‑effective workplace.

What You'll Do
Executive Support Leadership
Lead, mentor, and develop the EA/AA team, including recruitment, onboarding, coaching, and workload management.
Define and document service standards and operating procedures for executive support and office operations.
Drive consistency in tools, templates, and processes across the administrative function.
Implement coverage models to ensure uninterrupted support during peak periods, vacations, and absences.
Serve as project lead for strategic administrative initiatives.
Facilities & Office Operations
Oversee day‑to‑day office operations including reception, mail/courier services, supplies, print/scan, meeting rooms, visitor management, and security access.
Manage the facilities budget, including forecasting, tracking, and cost control.
Support annual planning tied to business growth, partner needs, and special projects (renovations, technology rollouts).
Plan and optimize office layouts, moves/adds/changes, desk allocation, and meeting room standards.
Manage vendor relationships and contracts, ensuring service levels and cost efficiency.
Partner with IT to ensure workspace readiness (A/V, connectivity) and support partner/client events.
Provide regular operational dashboards covering service levels, space usage, vendor performance, incidents, and budget variance.
Health, Safety & Compliance
Maintain health & safety policies, evacuation plans, first aid readiness, and incident reporting.
Lead safety drills and training programs.
Ensure compliance with building codes, accessibility standards, data privacy requirements, and internal policies.
Monitor and report on safety KPIs and corrective actions.
What You Bring
8–12+ years of progressive experience in executive support leadership and/or facilities management, ideally in professional services (audit, tax, advisory, legal, consulting).
Bachelor's degree in Business, Operations, Facilities Management, or related field—or equivalent experience.
Proven experience leading EA/AA teams supporting multiple senior leaders or partners.
Strong project management skills with the ability to manage multiple initiatives simultaneously.
Vendor management and contract negotiation expertise.
Deep understanding of office services, building operations, and health & safety practices.
High level of discretion, professionalism, and client service orientation.
Proficiency with Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint).
Certifications such as IFMA, BOMA, or OH&S are an asset.

Total Rewards
The annual salary range of $130,000 - $160,000CAD, based on skills, experience, and education. We benchmark regularly to ensure fair, competitive pay and recognize individual contribution.
