We are an established auto collision repair center seeking a highly qualified Virtual Assistant with direct experience in the collision repair industry to help design, implement, and manage administrative systems for daily operations.
This is not an entry-level VA role.
We are specifically looking for someone who has worked with or inside a collision center, understands how shops operate, and can create structure where none currently exists.
If you are process-driven, organized, proactive, and capable of building workflows from the ground up, this role is for you.
Key Responsibilities
Design and implement operational systems, including:
Call handling workflows
Email and customer communication processes
Job intake and follow-up procedures
Daily task tracking and reporting
Manage incoming and outgoing calls professionally
Handle customer emails, messages, and follow-ups
Coordinate appointment scheduling and job status updates
Communicate with insurance companies (status checks, notes, follow-ups)
Create and document SOPs (Standard Operating Procedures)
Maintain organized records and daily activity logs
Act as a central administrative hub for the collision center
Required Qualifications
Proven experience in the collision repair industry
(Auto body shop, collision center, insurance repair environment, etc.)
Experience building systems, workflows, or SOPs from scratch
Strong understanding of:
Collision center operations
Customer intake & repair lifecycle
Insurance claim communication
Excellent spoken and written English
High attention to detail and ownership mentality
Ability to work independently and make process decisions
Reliable internet, professional phone presence, quiet workspace
Strongly Preferred
Experience with estimating or shop management software (CCC ONE, Mitchell, Shopmonkey, etc.)
Experience working with insurance adjusters and supplements
Operations or office-manager background
Bilingual (Spanish or Japanese is a plus)
Hours & Compensation
10–20 hours per week (with potential to grow)
Flexible schedule
