Executive Assistant (Part-Time, Remote)
I'm a founder and entrepreneur looking for a thoughtful, organized Executive Assistant to help keep my personal life and business compliance running smoothly.
This is a part-time, remote role for someone who genuinely enjoys organizing details, following through on commitments, and making sure things don't fall through the cracks.
If you like having clear systems, clear expectations, and the satisfaction of checking things off before anyone has to ask — you'll probably enjoy this role.
What You'll Be Doing
Compliance & Administrative Support
I run multiple business entities and use a structured Airtable system to track compliance. You'll help:
Track deadlines and filings
Coordinate with my CPA, payroll provider, and state agencies
Review and process incoming mail
Make sure documentation is filed and organized
Provide a simple monthly summary of what was handled and what's coming up
You're not expected to interpret tax law — just to keep things organized and on track.
Project & Life Logistics
You'll help turn ideas into organized plans. For example:
Coordinating travel details
Managing moving logistics
Running point on multi-step personal projects
Scheduling and coordinating with vendors
I'll often explain what I want verbally, and you'll turn that into a clear task list and timeline in ClickUp.
Weekly Workflow
We'll have a 30-minute weekly meeting where:
You share what was completed
We review what's in progress
You present any decisions that need to be made
I assign any new projects
You'll own the agenda and documentation. The goal is for meetings to feel clear and efficient.
Third-Party Coordination
You'll communicate directly with vendors, professionals, and service providers as needed, following up and summarizing outcomes so I don't have to chase details.
