SUMMARY OF POSITION:
The Education Coordinator supports the execution of Alliant National's national education initiatives by providing hands-on administrative, operational, and coordination support across classes, instructors, documentation, systems, and communications. This role is ideal for someone who is comfortable doing day-to-day education administration work while also contributing ideas to improve processes, workflows, and tools over time.
The Education Coordinator plays a critical role in ensuring that education programs run smoothly, consistently, and in compliance with state Continuing Education requirements, while supporting instructors, internal teams, and Alliant National agents nationwide.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Education Administration & Department Support
- Provide general administrative support to the National Education Department.
- Maintain and updating education-related records and files.
- Maintain confidentiality of participant and internal data.
Course Materials & Regulatory Support
- Gather and organize course materials for submission to state Continuing Education authorities.
- Maintain class materials, handouts, and reports using Microsoft Word, PowerPoint, Adobe Acrobat, and Canva.
- Track course status, updates, and attendance rosters, providing any needed support or communication.
Scheduling, Communication & Coordination
- Coordinate course scheduling and maintain the department calendar.
- Monitor and respond to agent inquiries and other correspondence in a timely and professional manner.
- Coordinate delivery of all class materials, including scheduling confirmations, course materials, course updates, certificates, and other post-class materials.
Systems, Data & Cross-Functional Support
- Perform data entry and management across various education and project management systems.
- Collaborate with other departments for marketing, IT, and registration support.
Digital, Email & Website Support
- Assist with posting and maintaining content on websites and internal platforms using content management systems.
- Build and update emails within marketing platforms; basic HTML familiarity is beneficial.
- Support formatting, link management, and usability across digital communications.
EXPERIENCE, SKILLS, KNOWLEDGE
- Associate degree or equivalent administrative experience (2+ years) required; Bachelor's degree preferred.
- Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint) and Adobe Acrobat.
- Experience with learning management systems (LMS) and cloud-based systems preferred.
- Knowledge of and experience with state-governed Continuing Education regulations and procedures preferred.
- Strong organizational and time management skills with demonstrated attention to detail.
- Ability to work within new technology platforms.
- Professional and courteous demeanor; Customer care experience a plus.
- Excellent written and verbal communication skills.
- Ability to work independently in a remote setting.
- Comfortable working as part of a team.
PHYSICAL DEMANDS:
While performing the responsibilities of the job, the employee is required to talk and hear. Vision abilities required by the job are close vision. The employee is often required to sit and use their hands and fingers to handle, feel, and operate office equipment such as a computer and office supplies.
