The AIBC has an opportunity for an ambitious and organized individual who is up for a dynamic and rewarding role in a small team environment. We are seeking a permanent, full-time Office Coordinator ("Coordinator") to join our team of regulatory professionals. This position serves an important role in ensuring efficiency of the day-to-day operations of our office, and provides administrative, clerical, and customer service support to the AIBC team, volunteers, Registrants, and visitors.

About Us

The AIBC is a professional regulator with the mandate to regulate the profession of architecture in British Columbia in the interest of the public. The AIBC was established in 1920 by provincial statute, and since 2023, has governed the profession under the authority of the Professional Governance Act .

About the Role 

The Office Coordinator will report to the Manager, People Operations and is primarily responsible for coordinating the Front Desk including basic reception duties such as processing mail, fielding and responding to enquiries, taking ownership over common office spaces and general office administration, and supporting a range of facilities-related activities including being the site-contact for AIBC trades and vendors. This role also provides support to the People Operations department by participating in recruitment activities, supporting administration components of the Volunteer Program, and championing health and safety by participating on the health and safety advisory group. You will have the opportunity to take initiative and build new skills.

Due to the nature of this role, it is expected that the successful candidate will be working in the office most days, however AIBC supports a flexible work environment and working remotely can be a practical option on the occasional day when in-office presence is not required.

This position will be offered a comprehensive and competitive total rewards package, including four weeks paid vacation, Employee and Family Assistance Program (EFAP), extended health and dental coverage, membership in the Public Service Pension Plan, and a subsidized transit pass. The starting annual salary range for this position is $55,000 - $68,000. The actual salary offered will be commensurate with education, experience, and internal parity. When working in our centrally located downtown Vancouver heritage building, you will be near a variety of excellent cultural, restaurant and commuter options.

About You

We are looking for candidates who have completed a university degree, diploma, related program, or equivalent work experience, have at least three years of relevant work experience in a professional office environment with a minimum of two years of experience providing public or client services. Experience with record management, program administration, facilities coordination, data processing, and/or project coordination are considered assets, as well as related experience in a regulatory body, government agency, post-secondary or non-profit.

To be successful in this role, exceptional organizational skills and time-management skills are crucial. Additionally, highly developed communication skills and the ability to pay close attention to detail in all related tasks is of critical importance. This role is best suited for someone who also possesses the following skills and qualities:

  • service-oriented, anticipates needs, is resourceful and proactive
  • excellent computer skills, including experience working with databases
  • identifies as a self-starter, intrinsically motivated, demonstrates honesty, discretion, confidentiality, and has professional integrity
  • excellent business writing and editing skills, computer skills and confidently uses tools and software such as Microsoft Office Suite and SharePoint
  • ability to do occasional heavy lifting up to 22 kg (e.g., box of paper, office furniture)
