Hub Services Coordinator (Reception) - Contract Full-Time

Communitech is based in downtown Kitchener, Ontario. We work in-office five days a week because great things happen when we're together — creating space for deeper collaboration and stronger relationships with each other and the ecosystem we support.
Reporting to the Manager, Facility Operations, the Hub Services Coordinator is the face of Communitech and first point of contact for visitors, staff and tenants at the Communitech Hub.
What You'll Be Doing
Share the Communitech story and make all guests, tenants and team members feel welcome
Greet visitors following appropriate security sign-in, and visitor badge processing
Promptly and efficiently respond to all in person, telephone and email inquiries. Redirect to appropriate team members
Oversee and support all administrative duties including meeting coordination, accurately record and maintain tenant contact and security access information, order and maintain office supplies, receiving and delivering daily mail and packages
Maintain all common spaces and communal kitchen facilities in an orderly state throughout the day (preparing coffee, replenishing supplies, loading/unloading dishwasher, etc.)
Program and distribute security access passes; ensuring that corresponding internal records are updated and maintained with a high degree of accuracy
Respond quickly and effectively to visitor and tenant needs or inquiries (assisting with A/V and simple IT issues, delivering mail, program and services questions etc.) exercising excellent customer service and problem solving skills
Respond to inquiries and convert leads into meeting room or hot desk rentals by effectively communicating offerings, availability, and pricing.
Coordinate booking logistics, issue invoices, arrange room setup, and serve as the main on-site contact to ensure a smooth guest experience. Must be available for occasional early mornings and evenings.
Assist with planning, preparation and execution of operational processes and platform upgrades
Assist the Operations team with workspace, event and meeting room furniture set up. Able to lift and carry up to 22kg
Support the planning and execution of creative tenant engagement events that foster community and connection.
Contribute to the development and distribution of a regular tenant newsletter, and proactively engage with tenants to gather feedback and identify opportunities to enhance their overall experience in the space.

What We're Seeking
You are the biggest Team Player out there; you have strong verbal and written communication and interpersonal skills and you are passionate about providing excellent customer service
You are calm in a storm, and have the ability to multi-task and organize activities against changing priorities in a fast paced environment
You hustle hard - you're a self-starter, always looking for the next task with ability to think fast on your feet and execute with a high degree of accuracy
Proficient with Google Workspace or equivalent office productivity software
Experience with audio-visual equipment, video-conferencing, telephone and security systems is an asset
This position is required to be on-site at our Kitchener office.
Additional Information
The annual base salary for this role is $44,700. This is a contract, full-time position from April 13, 2026 to May 20, 2027.
