POSITION OPENINGS: 1 (Existing Position)
STATUS: Permanent, Full Time
LOCATION: Remote in Ontario, Canada (Candidates are required to reside within the GTA, maintain a private and safe workspace, and have a high-quality internet connection)
HOURS OF WORK: 35 hours/week
GRADE: Grade 9
The hiring range for this position ranges from $100,743.95 to $119,633.44, with the opportunity to grow within the broader salary range of $100,743.95 to $151,115.93 as you advance in your role.

Role
Reporting to the VP, Corporate Services & CFO, the Manager, Corporate Services will play a pivotal role in delivering advisory and support services related to strategic planning and operational implementation within the division. The position oversees and manages multi-faceted initiatives across divisions and the organization, and supports transformation horizontality, continuous improvement and change management activities. The incumbent will be responsible for providing leadership to a dedicated team that supports the administrative requirements of the office and of the division, ensures compliance of financial policies and practices with internal and external requirements, supports the procurement of select goods and services for WSPS, along with overseeing the processing of purchasing transactions, and leads facilities management responsibilities for the organization
Key Responsibilities
Note: Percentages refer to approximate % of time spent on each area, over the course of a given year
STRATEGIC EXECUTIVE ADVISEMENT AND SUPPORT (20%)
Provides expertise, advice, recommendations, and support to the VP Corp Services & CFO on operational, administrative, policy and procedural matters affecting the division.
Assesses and manages contentious, confidential and sensitive issues, identifying nature and complexity of issues, recognizes organizational implications and risks, and formulates appropriate level of response.
Provides support to the VP Corp Services & CFO on high priority and urgent issues, ensuring timely and appropriate action is taken in response to the priority/issue.
Plans and manages initiatives/programs on behalf of the VP Corp Services & CFO.
Participates in assignment of deliverables to departments/teams and monitors for resolution
Develops, communicates and facilitates implementation of division wide standards and processes.
Prepares or reviews and edits briefing materials and other products for VP
Establishes and maintains strong working relationships with key partners, internal and external clients to ensure timely and accurate information flow and identification of issues.
2. OPERATIONAL PLANNING & EXECUTIVE ADMINISTRATIVE SUPPORT (15%)
Develops and implements operational plans for the division in collaboration with the VP.
Designs and implements a variety of divisional processes for monitoring and reporting on initiatives and improvement opportunities, status of deliverables and facilitates timelines and accountabilities.
Collaborates with colleagues across the division and organization and provides guidance and support to divisional staff on operational priorities and strategic direction.
Responsible for organization's insurance policies including annual renewal and broker procurement as needed.
Supports the VP with executive administrative duties including prioritizing work flow and scheduling.
3. PROCUREMENT & INTERNAL CONTROLS COMPLIANCE (25%)
Ensure compliance with the Procurement policy and procedures and the Broader Public Sector Directives
Oversees the development and the implementation of any new procurement policies and procedures, including those mandated through the provincial government
Leads training and education activities across the organization to ensure consistent application of policies and procedures
Provide leadership to the Purchasing Specialist on day-to-day activities and provide direction and advice to budget managers throughout the procurement process
Manage and supervise the Internal Control Specialist to ensure financial policies and practices are in compliance with all internal and external requirements for the organization
4. FACILITIES MANAGEMENT (25%)
Oversees the management, maintenance, and efficient operation of WSPS' corporate office facility, ensuring that the physical space and systems are safe, functional, and meeting all operational needs while maintaining compliance with all applicable regulations.
Coordinates repairs, vendor contracts, and implements safety protocols in collaboration with WSPS OH&S Specialists.
Acts as WSPS' main point of contact with the landlord and its property management department.
Support development and maintenance of WSPS' Business Continuity Plan
5.TEAM LEADERSHIP (15%)
Provides effective leadership, guidance and coaching to team members, fostering a positive and productive work environment
Develops and empowers team members through training, mentoring, professional development and performance management
Sets clear expectations for performance standards and provides regular feedback to team members to support their professional growth and development.
Leads by example, demonstrating integrity, accountability, and professionalism in all interactions
6.CONTRIBUTES TO A HEALTHY AND SAFE WORK ENVIRONMENT (at all times)
Complies with all Health and Safety policies, procedures and company rules established in WSPS Occupational Health and Safety Management System (OHSMS).
Contributes to promoting a healthy, safe, and respectful culture
Complies with the Occupational Health and Safety Act and regulations
Skills, Knowledge, Expertise
Minimum
Undergraduate degree business administration, or related discipline, or minimum 5 years of related experience in corporate administration and/or operational planning
Familiarity of project management principles and methodologies to manage the delivery of program plans, initiatives and goals
Knowledge of protocols and practices of an executive office
Strong political acuity to effectively engage with internal and external stakeholders
Strong communication skills including managing sensitive information with diligence
Strong leadership abilities demonstrated through the capacity to inspire and positively impact others
Proficient in Adobe Acrobat and Microsoft 365 (Teams, Outlook, Word, Excel, PowerPoint)
Preferred
7 years of related experience in corporate administration and/or operational planning
Understanding of finance, procurement, and facilities management concepts considered an asset
Additional Requirements:
Must have access to reliable transportation and be willing to travel to Mississauga at least once a week, with additional visits as needed for facilities work. To support connection, inclusion, and collaboration, all team members, including this role, are also required to attend in‑person quarterly team meetings.
Provide an original criminal background check at your own expense prior to commencing work with WSPS. The criminal record check document must have been issued no more than 30 days prior to first day of employment.
An all-employee meeting (Staff Days or equivalent) will be organized annually. All employees are required to attend the annual meeting in person.
