I am looking for an experienced virtual assistant to support our team with various administrative tasks. The ideal candidate would ideally be based in the UAE and understand the local eco-system.
The ideal candidate will
- Possess excellent written and verbal communication skills.
- Be able to follow up sales leads, address customer concerns in a professional way.
- Be responsive, have great listening and comprehension skills.
- Be super organized, with great experience on excel, data and organising spreadsheets.
- Great at using email and be pro-active in following up and getting things done.
- Be very responsive, work and act quickly.
- be comfortable making phone calls to leads and potential clients
- Be great at building and managing relationships
- Bi-lingual or multi-lingual an advantage,
- Ideally have some finance or accounting experience, particularly with book keeping, reconciling accounts, payments tracking and accounts receivables.
- Should be systems and process driven
This is a part-time, ongoing position that requires managing multiple tasks efficiently.
For your refernece:
- We use ActiveCampaign as a CRM (this is where the leads go)
- We also use google forms for registrations and work within the google workspace eco-system
- We use Xero as accounting software (generating quotes, invoices, contact management)
Scope would include:
- Process for following up on leads (Calling, tracking, fielding questions/enquiries)
- Accounts Receivable, following with individuals, teams or organisations that have not paid, confirming their attendance and ensuring they have paid.
- Consolidating team and players lists (spreadsheets) - for sports related projects
- Tracking payments for teams and individuals (spreadsheets)
We also work a lot using the google workspace eco-system, can set up emails or do what we need to do. Ideally we would also get your team to call using a UAE number, but we would need to provide some onboarding and training.
Contract duration of more than 6 months. with 30 hours per week.
Mandatory skills: Administrative Support, Microsoft Excel
