About Us:
We are a fast-growing healthcare manufacturer seeking a detail-oriented and reliable Virtual Assistant to join our team. This role requires strong organizational skills, the ability to work independently, and comfort with multiple software tools.
Position Overview:
The Virtual Assistant will support our operations by cross-referencing product information, managing schedules, coordinating meetings, handling communications, and assisting with bookkeeping tasks in QuickBooks. The ideal candidate is tech-savvy, efficient, and able to juggle multiple priorities without sacrificing accuracy.
Key Responsibilities:
Cross-Referencing: Research and match product item numbers and descriptions between vendors, suppliers, and internal systems.
Calendar Management: Schedule and manage meetings, appointments, and events across multiple time zones.
Communication Support: Draft, send, and respond to emails; answer and route phone calls professionally.
Meeting Coordination: Prepare agendas, send invites, and ensure follow-up actions are tracked.
Bookkeeping Support: Record transactions, process invoices, and reconcile accounts using QuickBooks.
General Administrative Support: Data entry, file organization, and document preparation.
Requirements:
Proven experience as a Virtual Assistant, Administrative Assistant, or similar role.
Proficiency in Microsoft Office Suite, Google Workspace, and QuickBooks (Online preferred).
Strong written and verbal communication skills.
Ability to multitask and prioritize effectively.
High attention to detail and accuracy in data work.
Reliable internet connection and quiet workspace.
Preferred Qualifications:
Experience in product cross-referencing or database management.
Familiarity with CRM systems or inventory management software.
Prior experience in executive assistance preferred
