We're looking for our next Administrator, People Operations. Could It Be You?

The Administrator, People Operations will play a critical role in coordinating People and Culture Services at Questrade Financial Group (QFG) and the day to day administration needs of the team.

The Administrator, People Operations will support People and Culture programs and participate in committees and special project teams as required.

In this role, responsibilities include but are not limited to: 

  • Oversee and champion the new hire on-boarding process by gathering new hire documentation, ensuring accuracy and liaising with payroll and hiring managers to ensure new hires are properly set up in the payroll/HR system in a timely and efficient manner. 

  • Conduct the weekly new hire HR orientation for all new hires and act as the main point of contact for new hire inquiries.

  • Ensure all new hires and hiring managers have a smooth and positive experience.  

  • Facilitate BackCheck for each new hires

  • Operate with a sense of urgency and make recommendations for process improvement

  • Draft documentation for employee change requests (transfers, promotions, secondments, amendments, etc.) and communicate changes with relevant departments to ensure employee information is updated properly (payroll, IT, etc.), when required.

  • Provide support to ensure all People and Culture related systems are up to date for any new hire, transfer, promotion changes etc. (Ceridian, QuestStars, ADP, etc.)

  • Track end dates of secondments, fixed term contracts and contractor agreements and follow up with hiring managers as needed when expiry approaches. Assist with preparing extension letters when required.

  • Track work permit end dates and follow up when required to ensure accurate information is on file.

  • Oversee and administer the Leave of Absence process

  • Responsible for employee verifications and employment letters

  • Build strong relationships and provide support to HRBPs in an advisory capacity on various P&C related matters

  • Maintain accurate and organized personnel files

  • Update internal Google site with relevant People and Culture material as needed

  • Oversee and administer the Rewards & Recognition program

  • Act as backup to People and Culture team members when required 

  • Assist in planning, research, execution, and tracking of various projects within People and Culture

  • Promote best practices, share ideas and information to ensure consistency with Questrade's processes and procedures

  • Provide People and Culture administrative support to Questrade Financial Group.

  • Other ad-hoc duties as required

  • Have 1-2 years of HR and / or administrative experience. 

  • Have a Diploma or Degree in Human Resources or a related field.

  • Have a customer service background, and understand the importance of the employee experience

  • Have exceptional interpersonal skills, excellent oral and written skills

  • Have strong interpersonal skills and comfortable interacting with staff and managers in a professional manner

  • Have strong attention to detail and the ability to take ownership of tasks

  • Have excellent problem solving skills and takes initiative to provide creative recommendations

  • Take a collaborative and proactive approach

  • Act with a sense of urgency

  • Are a creative thinker with the ability to think outside the box

  • Have an ability to show empathy while maintaining adherence to policies and procedures

  • Are comfortable with technology, including Google Suite and Microsoft Office (particularly Excel)

Compensation Information:

  • Base salary range: $41,000 - $55,000

  • The final compensation package will be commensurate with the successful candidate's experience, skills, and geographic location (Canada). It includes a comprehensive benefits plan and a competitive incentive (bonus) program for Full-Time Permanent roles.
