We are a fast-growing recruiting and staffing firm supporting clients across multiple industries. We are looking for a highly organized, detail-oriented, and reliable Virtual Assistant / Executive Administrative Assistant to support daily operations, scheduling, client correspondence, candidate coordination, and administrative tasks. This role requires someone who can work independently, communicate professionally, and thrive in a fast-paced, deadline-driven environment.
Key Responsibilities:
• Manage calendars, schedule meetings, and coordinate interviews for recruiters and leadership
• Provide administrative support including email management, document preparation, and data entry
• Assist with posting job ads, updating applicant tracking systems, and managing resumes
• Communicate with candidates regarding interview times, submission requirements, follow-ups, and onboarding steps
• Support client communication including scheduling, status updates, and sending required documents
• Prepare reports, summaries, and weekly activity updates
• Maintain accurate records and organize digital files and documents
• Perform internet research and gather information as needed
• Handle confidential information with professionalism and discretion
• Provide general executive support to the CEO and recruiting leadership team
Qualifications:
• Previous experience as a Virtual Assistant, Executive Assistant, Administrative Assistant, or similar role
• Strong communication skills (written and verbal)
• Excellent organizational skills with the ability to multitask and prioritize
• Proficient with Google Workspace, Microsoft Office Suite, and online scheduling tools
• Experience using Applicant Tracking Systems (ATS) is a plus
• Ability to work independently with limited supervision
• High attention to detail and strong follow-through
• Reliable internet connection and dedicated work environment
• Professional, positive, and proactive attitude
Preferred Experience:
• Experience working in a recruiting or staffing agency
• Familiarity with job posting platforms such as Indeed, LinkedIn, ZipRecruiter, etc.
• Knowledge of CRM systems and pipeline management
• Experience supporting executives, CEOs, or business owners
Hours & Compensation:
• Looking for people who can work USA PST hours.
• 40 hours per week
• Long-term growth opportunities for the right candidate
Contract duration of more than 6 months. with 30 hours per week.
