A boutique private aviation advisory and charter brokerage serving high-net-worth clients. This role executes charter trips after contracts are signed, ensuring every operational detail is verified, risks are surfaced early, and flights operate without surprises.
This is a junior, execution-focused coordination role with 20–30 hours per week on an hourly contractor basis.
What You Will Deliver (Clear Tasks & Deliverables)
You will own operational execution for each assigned trip from contract through completion. Deliverables include:
• Fully verified trip data in Leon (system of record)
• Accurate passenger profiles (names, DOBs, contacts, passport data, expiration flags)
• Organized passport images and trip documents in Google Drive
• Validated operator trip sheets with discrepancies resolved
• Confirm FBOs, aircraft details, crew status, and ancillary services
• Coordinate catering and ground transportation with approved vendors
• Day-before operator checklist issued and confirmed
• Independent verification of weather (TAFs/METARs), NOTAMs, and TFRs (basic, will give guidance)
• Repositioning and aircraft routing checks via FlightAware / ADS-B Exchange
• Live day-of flight following with milestone confirmations (on-site, boarding, departure, arrival)
• Proactive client itinerary updates and operational communications via Leon
• Post-trip documentation uploaded and finance items flagged
Required Skills
• Extreme attention to detail and verification mindset
• Strong organizational and task management ability
• Clear, professional written and verbal communication in English
• Comfort calling operators, FBOs, and vendors directly
• Familiarity with logistics coordination, scheduling, or dispatch-style workflows
• Basic proficiency with Google Drive, Gmail, and web-based aviation tracking tools
Aviation experience is helpful but not required. Judgment, rigor, and communication discipline are more important.

• Immediate escalation when timelines or operational assumptions change
• Direct communication with operators and vendors expected
• Client-facing communication authority increases with demonstrated reliability
How We Work
• Remote, hourly contractor role (20–30 hours per week)
• Preferred time zones: EST or CST to align with U.S. operations
• Availability required when flights are operating, including weekends and holidays
• Coordinator verifies all information independently rather than assuming accuracy
• Final operational decisions on safety, legality, and routing rest with operators and senior leadership
• Execution-only role with no management responsibilities

Compensation & Scope
• Hourly contractor via Upwork
• $5–$8 USD per hour
• 20–30 hours per week depending on active trip volume
Contract duration of more than 6 months. with 40 hours per week.
