Who You Are
You're highly organized and detail-oriented, with a natural ability to keep projects moving behind the scenes. You thrive in fast-paced production environments and enjoy bringing structure and clarity to purchasing and vendor workflows.
You're confident managing vendor purchasing, coordinating invoices, and tracking costs across multiple projects at once. Accuracy matters to you — you ensure vendors are properly set up, purchase documentation aligns with project scope, and invoices are processed correctly and on time.
You're collaborative by nature and build strong partnerships with Production teams, Project Managers, and Finance. You understand that smooth production operations drive project success, and you take pride in providing reliable cost visibility and clean, organized financial tracking.
You're proactive, solutions-oriented, and comfortable balancing operational detail with cross-functional communication — ensuring nothing slips through the cracks.
What You Will Do Production Operations
Work cross-functionally with Digital Asset Production teams (2D and 3D), Project Management, Sales, and Finance to establish best practices and safeguard financial integrity throughout operations.
Support the design and implementation of a new production management toolset as well as performance metric models to enable data-driven business planning.
Oversee ongoing metric updates to ensure data integrity and continued relevance.
Align financial reporting with production status and recognized revenue.
Support budgeting, projections, and planning activities as requested.
Maintain agreements, documentation, and rate schedules for all external vendors.
Monthly Financial Operations
Track estimated production costs across all vendors and internal teams.
Prepare work-in-progress (WIP) cost estimates to support accurate vendor invoicing and production billing workflows.
Confirm project status and purchasing completion with Project Managers prior to invoicing.
Assess overdue accounts and determine escalation timing to Collections.
Vendor Invoice Processing
Review outsourced vendor project lists and validate vendor invoices against approved work orders and rate agreements prior to invoice approval.
Review vendor charges for alignment with agreed-upon pricing and scope.
Approve vendor invoices for Airbase upload and track progress through approval hierarchies and monitor payment status.
Revenue Forecasting & Tracking
Build data-driven revenue forecasts derived from sales patterns.
Update the Analytic Revenue Tracker twice monthly with MSCRM and Omega ledger data.
Post revenue reports to the W: Drive for leadership review.
Provide revenue data for planning, forecasting, and ad hoc analysis.
Help define best format for team's P&L dashboard and maintain it.

What You Bring
Strong understanding of financial processes (invoicing, AR, WIP, COS).
3-4 years of experience in digital production operations (workflows), in.
High proficiency in Excel and financial tracking tools.
Strong attention to detail and accuracy in data management.
Ability to collaborate effectively across multiple teams (Finance, Production, PMs).
Excellent communication and analytical skills.
Experience with Airbase, or similar financial systems is an asset.
PMP or Scrum Master Certification an asset.
