COMMITMENT: 30+ hours per week (Following a brief trial period)
THE MISSION
Bundl is seeking a technically-minded Operations & Data Systems Coordinator to move our internal business processes from manual oversight to automated excellence. Instead of manually reviewing data, you will build the "connective tissue" between our tools to ensure our data is self-validating and our reporting is real-time. You will work closely with the Head of Operations to decentralize our workflows, empowering the team with automated tools that ensure data integrity without central bottlenecks.
CORE RESPONSIBILITIES
Automated Governance & Validation: Design and implement automated "health checks" across our ERP and project management tools. You will build logic-based workflows that automatically flag missing time entries, miscategorized expenses, or budget discrepancies.
- Systems Decentralization: Develop self-service dashboards and automated reporting loops (e.g., Slack alerts, automated weekly summaries) that allow Project Leads to monitor their own data. Your goal is to eliminate the need for manual "checks" by the Ops team.
- Low-Code Automation: Identify repetitive operational tasks and "kill" them with automation. You will maintain and expand our automation stack (n8n, Zapier) to keep our software ecosystem (ERP, CRM, PM tools) in perfect sync.
- BI & Dashboard Ownership: Build and maintain high-visibility dashboards (Looker Studio/Tableau). You will ensure these are functional tools that help the team monitor time-tracking, utilization, and project profitability in real-time.
- System Administration & Tooling: Act as the primary admin for our software stack. Manage user access, audit permissions via automated workflows, and troubleshoot integration "breaks" to ensure zero downtime.
- Infrastructure Maintenance: Support the integrity of our centralized SQL-based database. Ensure that as we scale, our data structure remains lean, organized, and ready for high-level executive reporting.
QUALIFICATIONS
- The "Systems" Mindset: You don't just fix errors; you build a process so the error never happens again.
- Tech-Savvy Builder: Advanced Google Sheets/Excel skills are mandatory. You should be comfortable with (or ready to master) SQL and low-code logic (if/then, loops, webhooks).
- Automation-First Instinct: You naturally gravitate toward tools like n8n, Zapier, or Make to solve operational headaches.
- Experience: 2+ years in an operations or technical support role, ideally in an agency or fast-moving startup environment.
- Communication: Strong English skills to explain technical workflows and "self-service" protocols to the wider team.
