THE ROLE
The Operations Assistant is responsible for supporting the overall administrative operations, which includes facilities management, mail support, inventory management and ordering, and internal projects as needed. This role effectively and efficiently supports the directives of the internal operations team to drive internal efficiency which contribute to growth of revenue, and overall productivity for our business.
WHAT YOU'LL DO:
  • Collection of incoming mail and coordination of outgoing mail, including inputting Purolator and calling in courier mail;
  • Scanning of documents throughout the office;
  • Review and advise on administrative functions, focusing on process improvements and efficiencies.
  • Maintain strong relationships with suppliers and vendors, ensuring accountability and quality standards
  • Track budgets for supplier-related expenses.
  • Maintain a comprehensive and uniform supplier listing for procurement purposes.
  • Manage relationships and service standards with key vendors
  • Work with regional resources to manage inventory and placing orders
  • Handle ongoing on-site maintenance and repair issues in collaboration with Operations team
  • Manage office supply inventory and organization
  • Additional Support:

  • Support the onboarding and learning of new staff.
  • Administrative support for change requests and general operations projects
  • Support the development of policies, procedures, and service systems to support the company in the pursuit of its goals.
  • Organize and maintain records and update internal databases as required.
  • Support the collection and data integrity of all Operations systems and documents.
  • Ensures internal clients are provided seamless, timely, and responsive service.
  • Other duties and projects as required.
  • WHAT WE REQUIRE:
  • 1-2 years experience in a administrative role;
  • Completion of Highschool Diploma is required;
  • College education in an office administration or related program an asset;
  • Professional and friendly demeanour;
  • Ability to multi-task in a fast-paced environment;
  • Effective listening skills;
  • Positive and self-motivated;
  • Excellent organization, planning and prioritizing skills;
  • Ability to meet deadlines and communicate the status of assignments; 
  • Effective verbal and communication skills;
  • High level of accuracy and attention to detail required;
  • Proficiency with Microsoft Office Suite.
