We are seeking a highly organized, proactive Virtual Operations Manager to help support daily operations, elevate customer experience, and assist in leading our growing team.
Role Overview
The Virtual Operations Manager will work closely with the Founder to manage day-to-day operational workflows, oversee customer service standards, support team coordination, and ensure a seamless experience for members, guests, and partners.
This role is ideal for a strong operator who thrives in fast-paced environments, enjoys building systems, and takes ownership of execution. I am willing to train and grow the individual to the position that is required.
Key Responsibilities
Operations Management
Support daily operations of The HUB, ensuring smooth workflows and organization.
Help implement and maintain operational systems and SOPs.
Track tasks, follow-ups, and internal deadlines.
Assist with scheduling, logistics, and operational coordination.
Customer Experience & Member Support
Serve as a primary point of contact for members and inquiries (email, messaging platforms, CRM).
Maintain high-touch customer service standards aligned with The HUB's community-first culture.
Support onboarding processes for new members.
Help resolve issues professionally and proactively.
Team Leadership & Coordination
Assist in guiding and coordinating support staff and contractors.
Help maintain accountability for team tasks and responsibilities.
Facilitate clear communication between Founder and team.
Encourage a positive, collaborative team environment.
Administrative & Operational Support
Maintain documentation, trackers, and operational dashboards.
Assist with billing follow-ups, member communication, and basic reporting.
Support event logistics coordination when needed.
Ideal Candidate
Strong organizational and leadership skills.
Excellent written and verbal communication.
Customer-service oriented with strong emotional intelligence.
Self-starter who takes initiative without constant direction.
Comfortable working in startup/entrepreneurial environments.
Tech-savvy and able to learn new tools quickly.
Able to prioritize multiple tasks efficiently.
Preferred Experience
Operations management, project management, or executive support.
Customer success or community management.
Remote team coordination.
Experience with coworking, hospitality, or event environments (plus).
Work Structure
Remote / Virtual position.
Flexible schedule with availability during business hours.
Occasional coordination with onsite team.
