execution, and a refined client experience. Our work integrates architecture, interiors, and construction
into cohesive homes where process, detail, and craftsmanship matter.
As the company continues to grow, we are expanding our operational structure to support consistency,
clarity, and strong execution across all areas of the business.
THE ROLE
The Operations Leader supports the day-to-day function of Maison Design + Build by maintaining
operational systems, coordinating internal workflows, and ensuring that company processes are
implemented consistently across the organization.
This role focuses on execution and structure. It ensures that approved policies, procedures, and workflows
are followed, maintained, and supported by the team.
The Operations Leader does not lead design direction or construction decisions. Instead, this position
helps create the operational stability that allows the design and construction teams to focus on delivering
exceptional work.
The Operations Leader ensures that operational decisions, procurement workflows, and internal systems
align with Maison's standards for execution, organization, and accountability.
KEY RESPONSIBILITIES
Operational Systems & Workflow
• Implement and maintain company policies, procedures, and operational standards
• Support daily operational flow across design, construction, and office teams
• Coordinate internal workflows to ensure clarity and follow-through
• Maintain internal documentation, templates, and process resources
• Help uphold operational consistency across projects and departments
Procurement, Build Execution, Furnishings Program & Warehouse Operations
• Coordinate procurement workflows related to construction projects, furnishings programs, and project
materials
• Support tender coordination and bid tracking, including organizing vendor submissions and assisting
with bid analysis alongside the founders and construction team
• Assist with quoting processes, preparing pricing documentation, and coordinating invoicing workflows
as directed
• Support vendor communication, purchase processing, and delivery coordination tied to active builds and
installations
• Coordinate furniture and installation logistics, ensuring trades, deliveries, and site readiness align with
project timelines
• Oversee warranty coordination related to furnishings programs and operational procurement items
• Maintain organization of receiving processes, warehouse systems, and inventory management
• Support turnover logistics and operational readiness of completed homes
Office Operations & Infrastructure
• Maintain organization of internal office operations and administrative workflows
• Manage operational vendors including IT providers and software platforms
• Maintain internal systems such as Buildertrend and other operational tools
• Help ensure company systems are used consistently
Human Resources & Internal Training
• Support onboarding and offboarding processes
• Coordinate benefits administration and HR documentation
• Assist in developing internal training resources, including recorded process videos
• Help maintain clarity around internal workflows and role expectations
Client Experience Support
• Maintain operational templates and processes that support a consistent client experience
• Support project setup and closeout workflows from an operational perspective
• Ensure internal standards are followed throughout the client lifecycle
Marketing Operations Support
• Support operational coordination related to marketing initiatives, including photography scheduling,
asset organization, website updates, and awards submissions
• Maintain internal marketing systems and documentation to ensure brand materials are organized and
accessible
• Coordinate timelines and logistics related to marketing execution in collaboration with the founders
• Assist with implementation of approved marketing processes and tools as the company continues to
grow
Founder Collaboration
• Work closely with the founders to implement operational initiatives
• Support accountability by ensuring systems and processes are followed consistently
• Escalate operational issues when guidance or decisions are required
QUALIFICATIONS
• Post-secondary education in business, operations, construction management, or a related field, or
equivalent professional experience. Experience in a design-build, construction, or project-based
environment is considered an asset.
• Strong organizational and systems management skills
• Comfortable working in a design-driven environment
• Excellent communication and documentation abilities
• Ability to manage multiple workflows simultaneously
• Strong judgment and confidence working within structured systems while supporting leadership
direction
• Experience with project management or operational software preferred
