We are looking for an experienced, creative, and skilled Senior Project Manager with a background in, and a passion for, digital marketing to join our dynamic team

As a Senior Project Manager you will work with clients from a variety of different industries. You will be responsible and accountable for the successful planning, executing, monitoring, problem-solving and delivering of successful digital marketing projects from start to finish. The successful candidate will have a positive disposition and demonstrate excellent communication, time management and problem-solving skills.

This is a full-time position for candidates located within drive time of our Studio in Oakville, Ontario, Canada.

Responsibilities

Client Onboarding and Initiation

  • Develop strong trust-based relationships as the primary client contact
  • Work with clients across all Candybox service lines to initiate new projects and marketing initiatives
  • Capture and maintain accurate project records and client information in our project management software, Forecast
  • Collaborate with different departments and our internal sales team to define scope, objectives, success criteria, budgets, and approval workflows
  • Identify initial project risks, dependencies, and resource requirements
  • Convey ownership and passion for project success from start to finish

Planning

  • Develop and maintain Gantt project and/or program timelines and resource plans across agency teams in Forecast
  • Work with department heads to assign the right resources to projects in Forecast
  • Create creative briefs and schedules across: web / search / social / video / photography / branding / automation / creative services
  • Present timelines and plans to clients for approvalAlign deliverables with client contracts and internal capacity
  • Develop risk management and communication management plansDesign approval processes to keep projects within scope, timeline, and budget

Execution and Coordination

  • Project manage and coordinate cross-functional teams across the whole agency
  • Maintain ongoing client communication and secure approvals to keep work on track
  • Manage budgets, timelines, and deliverables—adjusting plans as required
  • Conduct regular project status meetings and provide updates to stakeholders
  • Collaborate with team members to assess account situations and strategize solutions
  • Ensure accurate project tracking and resourcing in Forecast
  • Utilize Forecast to report on budget and resource performance
  • Assess and govern changes in project scope, leading the change request process and ensuring impacts to timeline, scope, budget, and delivery commitments are clearly defined, approved, and managed.
  • Conduct lessons learned meetings to turn experience into insights, prevent the repeat of mistakes and improve future planning

Performance and Growth

  • Identify and present opportunities to upsell additional Candybox services
  • Ensure all projects meet or exceed client expectations and contract commitments
  • Drive exceptional client experience and long-term account growth
  • Contribute to agency process improvements and service innovation

Operations and Governance

  • Identify project risks and implement mitigation strategies
  • Build supportive relationships with internal teams and subcontractors
  • Ensure adherence to Candybox processes, quality standards, and best practices
  • Identify any operational or process improvement opportunities in collaboration with the PMO Director and COO.

Senior Key Actions

  • Manage direct reports
  • Problem-solve medium-large size client issues with minimal support
  • Service and build strong relationships with larger accounts as assigned
  • Take initiative to build and foster ongoing open communication with your Director, CEO and COO
  • Demonstrate a holistic view of the company with keen attention to the development and implementation of ideas for growth and extraordinary success
  • Foster and create a safe and positive environment of collaboration where team members can express their ideas and work together to succeed on projects
  • Lead meetings, prepare and present meeting agendas and conduct meeting wrap-ups and follow-ups
  • Step up and take on the overall accountability for project success
  • Take initiative to expand your existing knowledge base beyond the scope of essential knowledge for your role
  • Develop and implement advanced marketing strategies and role expertise
  • Provide support/coaching on small tasks/issues for the department team members as needed or as called upon by the Team Lead, CEO or COO (For example, assist with the onboarding training of New Hires)
  • Assist the sales teams with meetings/numbers as needed or called upon by the Sales Team or Team Lead
  • Lead 3-4 key initiatives per year (OPSPs) (For example: assist the sales team with the creation of new services)

Role Requirements

  • 3-5 years of experience in project management within a marketing agency or similar environment.
  • Be legally eligible to work in Canada
  • Post-secondary credentials in an applicable technology or design field
  • Project and resource management experience (and ideally accreditation)
  • Experience managing and leading Teams
  • Excellent written and oral skillsEasily learn new softwares (Reporting, tracking etc)
  • Proficient in an Apple and Google Drive environment

Competitive Salary Range ($85,000 – $95,000 annually, based on experience and qualifications)
