Position Overview
The Niagara Falls Innovation Hub is seeking a highly organized, proactive, and detail-oriented Executive Assistant / Bookkeeper to support executive leadership and support the organization's day-to-day financial operations.
This role blends high-level administrative support with financial management responsibilities and is ideal for someone who thrives in a fast-paced entrepreneurial environment. The successful candidate will be a trusted partner to leadership, ensuring operational efficiency, financial accuracy, and seamless coordination across programs and partnerships.
Key Responsibilities
Executive Support
Provide direct administrative support to the Chief Executive Officer and senior management
Manage calendars, schedule meetings, and coordinate appointments
Prepare agendas, reports, presentations, and meeting minutes
Support board meetings, including documentation and follow-up actions
Draft professional correspondence and internal communications
Coordinate travel arrangements and event logistics
Maintain confidential records and documents
Financial Management & Bookkeeping
Support day-to-day bookkeeping, including accounts payable and receivable
Process invoices, payroll, expense reports, and payments
Reconcile bank and credit card statements
Maintain accurate financial records using accounting software (e.g., QuickBooks)
Prepare monthly financial reports for leadership review
Assist with budgeting and cash flow tracking
Support grant reporting and funding documentation
Coordinate with external accountants/controller during audits and year-end reporting
Ensure compliance with financial policies and procedures
Operational & Administrative Support
Assist with membership billing and invoicing
Support financial reconciliation
Help manage contracts and partnership documentation
Maintain office supplies and support general office operations
Support event coordination logistics when required
Qualifications
Diploma or degree in Business Administration, Accounting, or related field
5+ years of experience in executive administration and/or bookkeeping
Proficiency in accounting software (QuickBooks preferred)
Strong understanding of bookkeeping principles and financial reporting
Advanced proficiency in Microsoft Office (Excel, Word, Outlook)
Exceptional organizational and time management skills
Strong written and verbal communication skills
High level of discretion and professionalism
Preferred Assets
Experience working in a nonprofit, innovation hub, or entrepreneurial environment
Familiarity with grant reporting and funding administration
Experience supporting a Board of Directors
Knowledge of CRM systems or membership management tools

Compensation & Benefits
Employment Type: Full-Time, Mon to Fri 8:30am to 4:30pm – some evenings and weekends may apply.
Start date: March 2, 2026
Salary: Competitive
