Delta Wye Engineering is a fast-growing engineering firm. We're entering our next phase of growth, and the CEO is most valuable when focused on relationships, high-stakes decisions, and leading the business. Growth creates noise—email, scheduling friction, logistics, follow-ups, and open loops that quietly steal momentum.
This role exists to remove that noise and build simple systems that keep work and life running smoothly.
The Role
We're hiring a Strategic Executive & Personal Assistant: a calm, high-trust right-hand partner who owns the CEO's time, communication flow, follow-through, and key personal logistics.
A meaningful part of the role also supports the CEO's wife (author + homeschool + household systems). Early on, support may be heavier while systems are built; once stable, it tapers to maintenance.
This is not childcare or housekeeping. It is coordination, calendar/email control, and system-building.

What You'll Own
1) CEO Executive Support
Inbox + Communication
● Triage inbox: sort, prioritize, route, draft replies when appropriate
● Build escalation rules so only high-impact items reach the CEO
● Maintain templates and ready-to-send language
Calendar + Scheduling + Travel
● Run calendar end-to-end: scheduling, focus blocks, travel, logistics
● Accept/decline requests based on clear criteria
● Build clean weekly schedules for deep work + high-value meetings
● Protect time for family priorities, gym, and outdoor rock climbing
Meetings + Follow-Through
● Coordinate agendas and pre-reads
● For important meetings: capture action items and decisions (AI + notes as needed)
● Drive follow-up until complete (no loose ends)
Open-Loop Tracking
● Maintain a master tracker for requests, projects, deadlines, and commitments
● Proactive reminders and completion follow-up
Planning Rhythm
● Daily quick check-in (alignment)
● Weekly planning meeting to design the week and priorities
2) Family Systems Support (CEO's Wife)
Protect Writing Deep Work
● Schedule and defend writing blocks multiple times/week
● Add buffers and rules so deep work is real
● Coordinate conflicts proactively
Calendar Ownership
● Consolidate and run her calendar
● Implement standards: batching, buffers, theme days, default blocks
● Reduce scheduling whiplash across the family calendar
Email Cleanup + Ongoing Management
● Clean up and organize a messy inbox
● Build labels/folders, templates, and response standards
● Draft responses where appropriate; escalate only what truly needs her
Systems That Stick
● Build simple routines/checklists/planning cadence
● Create lightweight trackers that actually get used
● Drive follow-through until stable
3) Relationship Support (Light, Non-Sales)
● Maintain an existing relationship tracker
● Draft simple outreach for CEO review/approval
● Light research so CEO shows up prepared
● Monitor LinkedIn / Sales Navigator messages and draft replies/follow-ups
4) Personal Logistics (CEO + Wife)
● Schedule personal appointments and travel (business + personal)
● Coordinate errands (dry cleaning, returns, mailing, vendor scheduling)
● Light personal administration (bills, receipts, document collection, liaising with providers)
Quarterly Retreat Planning
● Coordinate a quarterly retreat for the CEO and his wife: dates, booking, logistics, reminders, childcare coordination
Scope, Boundaries, and How This Won't Become Three Jobs
We want this role to be sustainable and clear.
Not included: childcare, housekeeping, meal prep, tutoring, driving kids daily, personal tasks that require you to be "on call" constantly.
On-site at home: occasional and planned (logistics/coordination), maybe 1-2 days per month.
On-site at the office: minimum 2 days/week.
Time split expectation:
● First 60–90 days: heavier on spouse systems while stabilizing (roughly 50–60%)
● Steady-state target after systems are built: primarily CEO support (roughly 60–70%)
Decision rights: you'll have defined approval limits for routine spending and bookings once trust is established.
What Success Looks Like (First 90 Days)
● CEO calendar is protected and intentional; fewer low-value interruptions
● Inbox triage rules are live; response speed improves
● Open loops tracked and closed; nothing important slips
● Writing blocks are protected; spouse weekly rhythm is workable
● Inbox cleaned and maintained; email becomes low stress
● Family systems reduce daily chaos
● Relationship tracker stays current; LinkedIn/Sales Navigator doesn't leak follow-ups
● One quarterly retreat planned and executed smoothly
Training
We'll train you using Strategic Coach concepts and enroll you in The Strategic Assistant Virtual Program so we share an operating system for priorities and execution.
Who You Are
● Calm, proactive, discreet, and highly trustworthy
● Strong judgment and comfortable gatekeeping
● Systems builder (simple systems that stick)
● Excellent follow-through; you close loops
● Comfortable in an entrepreneurial environment where priorities evolve
Qualifications
● 5–8+ years supporting a CEO/founder or senior executive in a high-trust EA/PA role
● Strong written and verbal English
● Confident with email/calendar, documents/spreadsheets, trackers, and modern AI tools
Hours, Location, and Type
● Monday–Friday, 8:00am–4:00pm core hours
● Flex within that framework; occasional off-hours for travel/time-sensitive issues
● Hybrid (Kelowna area) with regular on-site office presence
Part-time or full-time depending on fit. The role can start part-time and grow into full-time.
Compensation & Benefits
● Full-time base salary: typically $80,000 CAD, adjusted for experience
● Profit sharing: variable based on company performance; typically up to ~$10,000 CAD, and may be higher in exceptional years
● Part-time: compensation is pro-rated based on agreed hours; profit sharing eligibility adjusted accordingly
